Job description

Administrative Support

Responsible for performing administrative support duties within the assigned area. This position supports the organizational unit through document preparation, file maintenance, scheduling, customer communication, and coordination of administrative processes in a fast-paced, team-oriented environment.

Day to Day:

  • Perform basic administrative duties under immediate supervision while following established procedures
  • Prepare documents, reports, spreadsheets, and presentations to support the business unit
  • Maintain files, records, and calendars as needed
  • Utilize Microsoft Outlook, Excel, Word, PowerPoint, and other department software/systems
  • Answer customer questions and direct inquiries appropriately
  • Communicate effectively with co-workers, employees, customers, judges, attorneys, and external parties
  • Assist team members with assignments to maintain department productivity
  • Exchange documents with courts, administrative agencies, and opposing parties
  • Serve materials via hand-delivery, courier service, USPS mail, overnight courier, and email
  • Maintain filing systems and documentation records
  • Coordinate large mail distributions to 1,000+ recipients in a single event
  • Perform mail merges for letters, mailing, and shipping functions
  • Assist with document labeling and editing
  • Complete additional administrative tasks as needed
