Job description

Job Title: Full-time Sales and Office Assistant
Location: Guidance Residential HQ, Reston VA
Department: General Office
Position Type: Full-time, Non-Exempt
Job Summary:
We are seeking a motivated and detail-oriented Full-Time Sales and Office Assistant to assist with general office duties and provide support to our team. This is an excellent opportunity for someone looking to gain hands-on experience in a professional office environment while helping with administrative tasks and maintaining the office space.
Key Responsibilities:
  • Perform accurate and timely data entry into internal systems and databases
  • Assist with organizing and maintaining digital and physical files
  • Prepare and edit documents, reports, and correspondence
  • Support scheduling and calendar management for meetings and events
  • Help with mailing, scanning, copying, and filing tasks
  • Sort and distribute incoming mail and packages; prepare outgoing mail and coordinate courier or shipping services as needed.
  • Assist with weekly breakfast setup and cleanup, as well as office lunch events when scheduled.
  • Order supplies for the office and kitchen to ensure all necessary items are stocked
  • Maintain the cleanliness and orderliness of common areas (e.g., kitchen, break room, and meeting spaces, storage areas)
  • Assist with organizing and maintaining an inventory of special event materials
  • Assist with the shipping of event booth equipment and other event materials to ensure timely delivery and return
  • Assist on-site with special events, including traveling off-site and overnight travel as needed
  • Inspect event booth equipment before and after every event to ensure good condition.
  • Provide general administrative support to various departments, as assigned
  • Ensure that office supplies are organized and readily available
  • Assist with special projects as needed

Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Ability to lift and carry up to 25 pounds regularly, and up to 50 pounds occasionally (e.g., when handling event booth equipment, supply deliveries, or shipping materials. Ability to stand, walk, bend, and reach for extended periods, particularly during event setup and breakdown.
Qualifications:
  • Currently enrolled in or recently graduated from a college or university program
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Ability to handle multiple tasks and prioritize effectively
  • Reliable, punctual, and professional demeanor
  • Ability to maintain a clean and organized office environment
  • Availability for occasional overnight or weekend travel to assist with special event

Work Schedule:
  • 9am to 5:30pm
  • Monday-Friday (On-site)
  • Occasional weekend or evening work on an as-needed basis
