Role Summary

The Shipping & Receiving Specialist is the dedicated owner of all inbound and outbound material flow at Allocortech. This is a newly established, standalone function; it does not exist today, and the incumbent steps into full ownership of receiving, shipping, kitting, and inventory control from Day 1. Reporting to the Director of Operations / Production, the Associate is responsible for accurate receipt, inspection, and ESD-compliant handling of inbound aerospace and electronic components; preparation and release of outbound production shipments with complete documentation; kitting of components to active work orders for flight-critical assemblies; and day-to-day inventory accuracy. The role suits a self-sufficient professional with 23 years of direct aerospace or electronics handling experience who can operate with high autonomy in a founding-team environment with no peer to shadow.


Core Responsibilities

Inbound Receiving & Inspection

  • Receive, inspect, and process all inbound shipments against open purchase orders and packing lists; verify part numbers, quantities, and revision levels before any stock placement.
  • Inspect inbound assemblies for transit damage, counterfeit indicators (per AS6081 / AS5553 awareness), and Certificate of Conformance compliance; quarantine discrepant or suspect items and escalate to the Director before stock is placed.
  • Handle all ESD-sensitive components (PCBAs, connectors, cables, electromechanical assemblies) in strict accordance with ESD safe-handling procedures, including wrist straps, ESD mats, conductive bags, and anti-static packaging.
  • Log all receipts same-day into the inventory / ERP system with zero backlog; receiving documentation complete and accurate before end of shift.

Outbound Shipping & Documentation

  • Pack outbound production units per customer requirements using ESD-protective and aerospace-grade materials (moisture barrier bags, foam cushioning, custom crating as required).
  • Prepare complete, accurate outbound documentation for every shipment: packing lists, Certificates of Conformance, carrier labels, and Bills of Lading.
  • Verify all outbound documentation before releasing any shipment to a carrier; escalate incomplete CoCs or unresolved discrepancies to the Director prior to release.
  • Coordinate freight pickups with carriers (UPS, FedEx, freight forwarders) and manage day-of outbound logistics.
  • Maintain awareness of ITAR / EAR export-compliance requirements applicable to aerospace hardware shipments.

Parts Kitting & Production Support

  • Pull and kit components to active work orders and production travelers; verify part numbers and revision levels against the Bill of Materials before staging.
  • Stage completed kits at the production line by the agreed pull time; communicate proactively with technicians on kit status and timing.
  • Maintain ESD and fragile-assembly handling protocols throughout all kitting; no deviations on flight-critical hardware.
  • Escalate part shortages, revision mismatches, or BOM discrepancies to the Director and engineering immediately upon discovery.

Inventory Control & Cycle Counting

  • Perform cycle counts on assigned inventory locations; reconcile and report any discrepancies before end of shift.
  • Maintain consumable inventory (ESD bags, dunnage, packaging) and initiate reorder requests when stock reaches defined par levels.
  • Use available ERP / MRP system features for PO matching, receipt logging, and cycle-count tracking; reduce manual-entry error through tooling rather than workarounds.

Facility, Safety & Compliance

  • Maintain a clean, safe, organized shipping and receiving area in compliance with OSHA standards and Allocortech ESD safe-area requirements.
  • Operate material handling equipment (hand trucks, pallet jacks) safely and per facility procedures.
  • Adhere to all company quality, safety, and operational policies; support audit readiness at all times.


Required Qualifications

  • Minimum 23 years of hands-on shipping and receiving experience in an aerospace, defense, or electronics manufacturing environment.
  • High school diploma or GED equivalent.
  • Demonstrated, practical experience handling ESD-sensitive components (PCBAs, connectors, cables, electromechanical assemblies) with correct use of ESD PPE and packaging.
  • Proven ability to receive shipments, match against POs and packing lists, document discrepancies, and resolve or escalate without supervisory hand-holding.
  • Experience preparing complete outbound shipping documentation: packing lists, Certificates of Conformance, carrier labels, and Bills of Lading.
  • Proficiency with carrier shipping platforms (UPS WorldShip, FedEx Ship Manager, or equivalent).
  • Working knowledge of ERP / MRP or shipping systems for receipt logging and shipment processing.
  • Ability to read and accurately interpret purchase orders, Bills of Materials, production travelers, and part-number specifications, with high data-entry accuracy on flight-critical components.
  • Must be a U.S. Person (U.S. citizen, lawful permanent resident, or protected individual as defined under ITAR 22 C.F.R. 120.15).
  • Awareness of ITAR / EAR export-control requirements applicable to aerospace and defense hardware.
  • Physically able to lift and carry up to 50 lbs regularly and up to 75 lbs occasionally with assistance; stand, walk, bend, and perform repetitive material handling for extended periods; manual dexterity for ESD-compliant handling of small components; corrected vision sufficient to read part numbers and labels.


Preferred Qualifications

  • Experience kitting components to BOM or production traveler for flight assemblies or electronic production builds.
  • Inventory control and cycle-counting experience in an ERP or MRP system.
  • Familiarity with AS9100 or ISO 9001 quality management and documented receiving environments.
  • Knowledge of counterfeit-avoidance standards AS6081 and AS5553 and incoming-inspection practices.
  • Forklift or powered industrial truck (PIT) certification.
  • Military logistics background (Army 92A, Navy LS, or Air Force 2S).
  • Familiarity with shelf-life management, date codes, and lot traceability for electronic components.
  • Prior experience in a company operating under ITAR / EAR export-compliance requirements.
