About Duke University Hospital

Work Schedule: 2:00 PM - 10:30 PM, Monday - Friday

Occupational Summary

Perform core dock operations including receiving, shipping, and distribution of hospital merchandise, equipment, and linen. Manage computerized order entry and maintain strong inventory management processes to meet supply needs with prompt delivery. Ensure the accuracy of issued items, maintain the good working order and availability of equipment, and facilitate efficient workflow directly from the loading dock to end users.

Level 1 Responsibilities

Level 1 staff are required to perform the following core duties, with an emphasis on loading dock operations and inventory distribution:

  • Accept and sign for deliveries from distributors at the loading dock.

  • Inspect inbound shipments, enter Goods Receipts into the SAP system, and accurately file packing slips.

  • Report any identified shipment discrepancies immediately to Supply Chain onsite management.

  • Transport shipments safely from the loading dock to the stockroom.

  • Deliver received packages to appropriate purchasers and deliver non-supply items (e.g., medical gas, linen) in a timely manner.

  • Prepare and ship out Vendor Returns.

  • Move and stock supplies to appropriate shelving locations and rotate stock once receiving is complete.

  • Distribute and restock supplies and/or linen to end users in accordance with established procedures.

  • Perform regular cycle counts to ensure the accuracy of stock levels across all areas.

  • Check expiration dates on supplies, document findings, and discard expired products.

  • Ensure all STAT orders are completed according to specified service level agreements.

  • Use appropriate Supply Chain technologies (Pyxis and SAP) to document the movement of supplies.

  • Participate in mid-year and year-end inventory counts.

  • Ensure the loading dock and all Supply Chain work/storage areas are kept clean and organized.

  • Demonstrate excellent customer service when interacting with end customers to address supply or linen questions.

  • Proactively provide recommendations on operational efficiency improvements to management.


Level 2 Responsibilities

In addition to Level 1 duties, Level 2 staff spend at least 50% of their time performing the following advanced functions:

  • Serve as the Subject Matter Expert (SME) for the TIMS module, including receiving and documenting.

  • Access and utilize Vendormate for vendor management as assigned.

  • Work with customers to help reconcile shipping invoices as needed.

  • Effectively use the ERP system to pull reports, locate products, use handheld technologies for delivery and PAR replenishment, and close out daily SAP transactions.

  • Pull EPIC and Pyxis reports, analyze data, and provide appropriate recommendations.

  • Coordinate, manage, and deliver supplies to off-site clinics and facilities as needed.

  • Oversee consignment inventory processes and assist in annual inventory preparations.

  • Collaborate with Supply Chain stakeholders to adjust par levels and address slow-moving items based on usage.

  • Troubleshoot supply shortage issues and articulate the known impact to affected departments.

  • Act as a mentor and preceptor to Level 1 Supply Chain Associates and serve as a back-up Team Lead when necessary.

  • Participate in PERT, OR EDIT, and VAT discussions as assigned.

  • Complete all assigned tasks with minimal supervision from the Team Lead and Manager.


Physical Requirements & Skills
  • Exertional Force: Push/pull loaded and unloaded supply carts requiring up to 100 pounds of exertional force daily.

  • Lifting: Exert 20 to 50 pounds of force occasionally, 10 to 25 pounds frequently, and up to 10 pounds constantly to move objects.

  • Mobility: Frequent reaching, lifting, stooping, and bending throughout the shift.

  • Problem Solving: Ability to contribute to creating new ideas, improving processes, and solving logistical problems.

  • Work Ethic: Possess a sense of urgency, a proactive customer service philosophy, and the ability to work cooperatively.

  • Level 2 Specifics: Experience using an ERP system and demonstrated competency in inventory management.

Minimum Qualifications
Education
  • Required: High School Diploma or G.E.D.

  • Preferred: Some college-level coursework.


Experience
  • Level 1: At least 1 year of work experience, including experience in distribution, warehousing, shipping, receiving, logistics, material handling, customer service, inventory control, or a comparable service line. Strongly prefer experience in a fast-paced, customer service environment.

  • Level 2: At least 2 years of work experience in at least one of the disciplines listed above.


Degrees, Licensures, Certifications
  • Required: Valid Driver's License may be required depending on off-site transport needs.
