Operations Manager - Boca Raton, FL (Onsite)


Our client is a well-established, highly respected Registered Investment Advisory (RIA) firm seeking an experienced Operations Manager to work on-site in Boca Raton, overseeing the day-to-day operational functions of the business and supporting the firm's continued growth. The ideal candidate is an experienced RIA operations professional who enjoys wearing multiple hats, improving processes, supporting advisors, and serving as a key resource across operations, HR administration, technology, and compliance.


Responsibilities

  • Manage the firm's day-to-day operational functions and internal workflows.
  • Partner with firm leadership to improve operational efficiency and scalability.
  • Coordinate employee onboarding, orientation, and new hire training.
  • Assist with HR administration, employee benefits, and personnel-related processes.
  • Process payroll and maintain employee records using BambooHR (or similar HRIS/payroll platform).
  • Serve as the primary operational liaison with the firm's Compliance department to ensure internal processes align with regulatory requirements.
  • Support advisor operations, account administration, and custodial relationships.
  • Coordinate with third-party vendors and technology providers.
  • Develop, document, and improve operational procedures and best practices.
  • Create reports, presentations, and operational analyses using Microsoft Excel and PowerPoint.
  • Manage and organize firm documentation using Microsoft OneDrive and other cloud-based systems.
  • Provide operational support for firm initiatives, projects, and strategic growth.


Qualifications

  • Minimum 10 years of operations experience within a Registered Investment Advisory (RIA) firm is required.
  • Strong understanding of RIA operational workflows and advisor support.
  • Experience working with Fidelity and Charles Schwab custodial platforms.
  • Experience with Orion Advisor Technology is preferred.
  • Experience with Wealthbox CRM is a plus.
  • Previous experience with HR administration, including onboarding, employee benefits, and new hire training.
  • Payroll experience, preferably using BambooHR or a similar platform.
  • Advanced proficiency with Microsoft Excel, PowerPoint, Outlook, and OneDrive.
  • Excellent organizational, multitasking, and project management skills.
  • Strong written and verbal communication skills.
  • Self-motivated, collaborative, and able to thrive in a fast-paced environment.

  • Base Salary: Approximately $110,000 - $120,000 DOE plus Performance Bonus
