Part-Time / Hybrid — 30 Hours per Week

About the Role

Cogent Technology Resource LLC is hiring a highly organized, proactive, and trustworthy Executive Assistant to Executive Leadership.


This is not a basic administrative assistant role. We are looking for someone who can help manage up, bring structure to a fast-moving leadership environment, participate in meetings, document decisions, track action items, follow up with team members, and help make sure priorities are completed.

The right person will be comfortable sitting in on business, operations, customer, vendor, HR, accounting, and project-related meetings. They should be able to listen carefully, take clear notes, identify next steps, create follow-up lists, and help hold people accountable in a professional and respectful way.

This role is primarily focused on executive support, organization, communication, documentation, and follow-through. A creative eye and experience helping with polished documents, presentations, marketing materials, or Adobe Creative Suite is a strong plus, but marketing is not the primary responsibility of this position.


Key Responsibilities

Executive Support & Organization

  • Support Executive Leadership with scheduling, planning, communication, and follow-up
  • Manage calendars, appointments, reminders, and meeting preparation
  • Help organize emails, task lists, open items, deadlines, and priorities
  • Assist with document organization, digital files, paper files, and internal records
  • Help prepare Executive Leadership for meetings by organizing agendas, notes, documents, and prior follow-ups
  • Track commitments, due dates, and action items so important details do not get missed
  • Help create structure around a fast-moving leadership team

Meeting Documentation & Action Item Management

  • Attend meetings with Executive Leadership as needed
  • Take clear and organized meeting notes
  • Document decisions, assignments, next steps, and deadlines
  • Create meeting summaries, follow-up reports, and action item lists
  • Identify who owns each task, what needs to be completed, and when it is due
  • Follow up with employees, vendors, customers, contractors, and business partners to help move items forward
  • Turn verbal conversations into written plans, task lists, emails, reports, or documents
  • Maintain organized records of meeting notes, project updates, and open items

Managing Up & Follow-Through

This role requires someone who is comfortable managing up.


Executive Leadership moves quickly and is involved in many parts of the business. We need someone who can bring organization, follow-through, documentation, and accountability to meetings, projects, and daily priorities.


The ideal candidate will not just wait for tasks to be assigned. They will listen, identify what needs to happen, document it, follow up, and help drive items to completion.


Responsibilities include:

  • Proactively reminding Executive Leadership of important priorities and deadlines
  • Asking clarifying questions when tasks, owners, or deadlines are unclear
  • Helping filter, prioritize, and organize incoming tasks and requests
  • Following up professionally with team members to keep projects moving
  • Helping create accountability without creating friction
  • Keeping leadership informed on what is completed, delayed, or still open
  • Creating systems, trackers, templates, and checklists that improve organization


Business & Administrative Support

  • Assist with customer follow-up and vendor communication
  • Coordinate with office, field, warehouse, HR, accounting, and management team members
  • Help organize invoices, receipts, purchase orders, forms, and basic administrative documents
  • Support recruiting-related coordination when needed
  • Prepare internal updates, customer follow-ups, vendor emails, and executive summaries
  • Help organize information across multiple businesses, projects, and priorities
  • Handle confidential employee, financial, customer, ownership, and business information with discretion


Creative & Marketing Support — As Needed

This is not primarily a marketing role, but creative skills are highly valued.

The right candidate may occasionally help with:

  • Polishing presentations, one-pagers, flyers, and customer-facing documents
  • Improving the layout, formatting, and appearance of internal and external materials
  • Helping organize photos, project images, customer reviews, and company updates
  • Assisting with simple social media posts, email content, or event materials
  • Creating or editing basic marketing materials when needed
  • Supporting sales or customer-facing documents with clean formatting and professional presentation
  • Using tools such as Adobe Creative Suite, Canva, PowerPoint, Google Slides, or similar programs

Required Experience

  • Prior experience as an Executive Assistant, Administrative Assistant, Office Manager, Project Coordinator, Operations Coordinator, or similar role
  • Strong calendar, email, task, and document organization skills
  • Strong computer skills
  • Experience with Google Workspace and/or Microsoft Office
  • Strong typing, writing, and communication skills
  • Ability to create meeting notes, summaries, action item lists, and follow-up reports
  • Comfortable working in a hybrid role with some in-person office time
  • Ability to handle sensitive and confidential information professionally


Preferred Experience

Experience with any of the following is a plus:

  • Supporting a founder, owner, executive, or leadership team directly
  • Meeting documentation, action item tracking, or project coordination
  • Adobe Creative Suite, including Acrobat, Photoshop, Illustrator, InDesign, or Premiere Pro
  • Canva or similar design tools
  • PowerPoint, Google Slides, or presentation design
  • QuickBooks or basic accounting coordination
  • CRM software
  • Project management or task tracking tools
  • Social media platforms or email marketing tools

Schedule

This is a part-time position of approximately 30 hours per week.

The schedule may have some flexibility, but candidates should be available during normal business hours. Some in-person time will be required in the Tucker / Metro Atlanta area, especially for meetings, planning, document organization, and leadership support.


Compensation

$30–$36 per hour, based on experience.

Higher compensation may be considered for candidates with strong executive support experience, excellent meeting documentation skills, the ability to manage follow-up and action items, and creative ability with polished documents, presentations, or marketing materials.
