Job description

The Ordering Specialist is responsible for reviewing measure packets, validating required documentation, and processing customer orders from initial technician measure through release to production. This role verifies technician paperwork and FSL checkout responses, collects measure payments, processes change orders and amendments, applies and resolves holds, and prepares completed orders for audit. The Ordering Specialist ensures continuous inbox and chatter monitoring, timely order entry, and complete processing of orders with a high level of accuracy, while maintaining close coordination with sales, technicians, and other stakeholders across the organization.

Key Responsibilities:

  • Review outstanding technician paperwork daily and verify all required information has been provided
  • Confirm all required measure documents are present and accurate, including both standard and supplemental documents as needed
  • Verify that the Pre Installation Assessment form and contract match and confirm that any variances are supported by a signed amendment
  • Create change orders in rForce when pricing changes, update the corresponding product sections, and confirm contract price and amendment accuracy when submitted by a tech measure
  • Close Tech Measure work orders once any holds are resolved to release jobs to RTO (Ready to Order)
  • Prepare orders for RTO using the TechMapp uploader to flag variances and validate product details
  • Perform order entry and confirm order release and Purchase Order confirmation
  • Audit orders prior to release by verifying that amendments and variances have been properly captured and confirmed (e.g., by the Measure Tech)
  • Monitor the SFordering inbox and chatter continuously throughout the day and begin initial checks on new jobs as they arrive
  • Any other duties or responsibilities deemed necessary by Management

Qualifications:

  • High school diploma or GED required; college not necessary
  • 2+ years of data entry, administrative, or operations support experience preferred
  • Strong organizational skills and attention to detail
  • Clear, responsive communication skills
  • Proficient with CRM software, shared inboxes, and cloud storage (e.g., OneDrive)
  • Skilled in Microsoft Office Suite (Word, Excel, Outlook); intermediate Excel skills preferred
  • Salesforce and auditing experience are a plus

Compensation, Schedule, and Benefits:

  • $27-28/hour 
  • Onsite in our Hayward office, Monday-Friday 7:30am-4:00pm
