Position Summary
The Order Processing Specialist delivers essential administrative support to the AP and procurement departments by managing vendor relations, streamlining order fulfillment, and ensuring strict data integrity. This role serves as a key cross-functional liaison to optimize operational efficiency and support seamless daily business activities.


Responsibilities

  • Manage vendor inquiries regarding outstanding invoices, payment status, and account reconciliations.
  • Collaborate cross-functionally with internal departments to troubleshoot and resolve procurement or billing discrepancies.
  • Generate and maintain purchase orders (POs) and sales orders accurately within Microsoft Dynamics 365.
  • Audit financial documents to verify item codes, contractual pricing, and compliance documentation.
  • Facilitate vendor communications to track order status, delivery timelines, and missing documentation.
  • Ensure data integrity by maintaining organized digital records and comprehensive filing systems.
  • Optimize workflow efficiency by monitoring high-volume shared email inboxes and routing requests.
  • Provide cross-functional coverage for the order processing team during peak periods to ensure continuity.
  • Contribute to process improvement initiatives and execute ad hoc administrative projects as assigned.

Qualifications

  • 2+ years of experience in accounts payable, administrative support, or order management.
  • Hands-on ERP experience with Microsoft Dynamics 365 Business Central, SAP, Oracle, or similar systems.
  • Advanced proficiency in MS Office, with strong data-manipulation skills in Excel (VLOOKUPs, Pivot Tables) and Outlook.
  • Proven time-management skills with a track record of multitasking and prioritizing deliverables in fast-paced environments.
  • Exceptional attention to detail paired with strong written and verbal communication skills.
