Job description

Job Title: Program AdministratorJob Description
The Program Administrator serves as a key member of the Program Management team, providing daily customer support related to order status and order processing. Working under the direction of the Program Manager, this role manages order review, order processing, and quotation activities, and supports both commercial and technical customer liaison efforts. The Program Administrator is expected to step into the Program Manager role when required, ensuring continuity of service and effective coordination across the organization.
Responsibilities
  • Provide daily customer contact and support regarding order status, order changes, and order-related inquiries.
  • Manage end-to-end order review and order processing activities to ensure accuracy and timely completion.
  • Handle quotation processing, including preparing, updating, and communicating quotations to customers.
  • Assist the Program Manager with all customer liaison activities, including both commercial and technical communications.
  • Coordinate effectively with cross-functional groups such as Procurement, Engineering, Manufacturing, and Sales to resolve issues and support customer needs.
  • Perform customer order entry, tracking, and follow-up to maintain clear visibility of order progress.
  • Support invoice and credit management activities related to customer orders as needed.
  • Organize and prioritize daily tasks to manage time effectively and meet deadlines.
  • Prepare and deliver clear written and oral communications, including presentations and status updates.
  • Analyze order and program-related data using a disciplined and detail-oriented approach to support decision-making.
  • Use Microsoft Office tools, particularly Excel, to manage data, reports, and documentation related to program activities.
  • Assume the responsibilities of the Program Manager when required to ensure continuity of customer service and program oversight.
Essential Skills
  • Customer service, sales, or project management experience.
  • Experience with order entry and customer order processing.
  • Strong interpersonal skills to work effectively with cross-functional teams, including Procurement, Engineering, Manufacturing, and Sales.
  • Ability to stay well-organized, prioritize activities, and manage time effectively in a dynamic environment.
  • Strong oral and written communication skills, including the ability to present information clearly.
  • Strong analytical skills and a disciplined, detail-oriented approach to work.
  • Proficiency in Microsoft Office, with high proficiency in Microsoft Excel.
  • High School Diploma.
Additional Skills & Qualifications
  • Experience with invoice and credit management related to customer orders.
  • Knowledge of e-Synergy, Exact/Macola, or similar ERP (Enterprise Resource Planning) software systems.
  • Familiarity with logistics, manufacturing, or electronics environments.
  • Ability to collaborate with multiple departments and adapt to changing priorities.
Work Environment
This position operates in an office environment with a standard Monday through Friday schedule from 8:00 a.m. to 5:00 p.m. The role involves regular interaction with various departments, including Procurement, Engineering, Manufacturing, and Sales, in a professional, collaborative setting.

This is a Contract to Hire position based out of Richardson, TX.
Pay and Benefits
The pay range for this position is $24.00 - $33.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
