Job description

Position Title: Order Reconciliation Manager
Department: Pharmacy Operations
Reports To: Senior Manager, Pharmacy Outbound Operations.
FLSA Status: Exempt

Position Summary:

The Order Reconciliation Manager plays a critical role in ensuring operational accuracy, financial accountability, and fulfillment efficiency. This individual oversees the daily review, investigation, and resolution of order discrepancies—serving as a quality checkpoint between order entry, production, inventory, billing, and shipping. The ideal candidate brings strong analytical skills, attention to detail, and a proactive mindset to drive process improvement, accountability, and performance across the team.

Key Responsibilities:
  • Lead and manage all order reconciliation activities, ensuring accuracy in patient orders, product selection, pricing, shipping charges, and billing.
  • Investigate and resolve order discrepancies, including missing items, wrong shipments, canceled prescriptions, and system flags.
  • Collaborate closely with Pharmacy, Inventory, Shipping, Billing, and Customer Care to identify root causes and implement corrective actions.
  • Develop and maintain real-time reporting dashboards for error tracking, resolution timelines, and trend analysis.
  • Establish and maintain
    reconciliation SOPs, process flows, and escalation protocols.
  • Partner with IT/Data teams to improve system workflows and reduce reconciliation errors at the source.
  • Lead and coach a small team of reconciliation specialists, with a focus on ownership, accuracy, and efficiency.
  • Monitor KPIs related to order accuracy, reconciliation turnaround time, and financial impact.
  • Serve as a subject matter expert during internal audits and support compliance efforts related to order integrity and patient safety.
Qualifications:
  • Bachelor’s degree in Business, Healthcare, Operations, or related field preferred; equivalent experience considered.
  • 3+ years of experience in order management, reconciliation, pharmacy operations, or healthcare logistics.
  • Experience in a pharmacy or regulated healthcare environment highly preferred.
  • Strong analytical skills with a data-informed approach to problem-solving.
  • Proficiency in pharmacy management systems (e.g., Pharmetika) and Microsoft Excel/Power BI.
  • Detail-oriented with excellent organizational and communication skills.
  • Proven ability to drive cross-functional collaboration and follow through on commitments.
  • Comfortable in a fast-paced, growing environment where adaptability and accountability are key.
