Job description

People Architects is partnering with a highly respected, design-driven organization to hire an Order Processing Specialist. This is an excellent opportunity for an experienced operations professional who enjoys detail-oriented work, solving problems, and ensuring customer orders are processed accurately and efficiently. As a key member of the Operations team, you'll help support smooth order flow while contributing to process improvements and operational excellence across the organization.


Position Summary:

The Order Processing Specialist is an exempt position that reports to the Director of Operations. This role is responsible for processing customer orders, remakes, and sample requests while supporting efficient order flow across the organization. The Specialist handles more complex order processing activities, resolves order-related issues, and works closely with Customer Service, Production, Warehousing, Purchasing, and manufacturing partners to ensure accurate and timely order fulfillment. This position also supports continuous improvement efforts by identifying opportunities to improve workflow efficiency, operational consistency, and documentation.


Schedule:

This role works 9:00 AM - 5:00 PM, Monday-Friday onsite.


Duties and Responsibilities

(Other duties as assigned. Must be able to perform the essential functions of this position with or without reasonable accommodation.)


  • Process routine and complex sales orders, purchase orders, remakes, and sample requests within the ERP system.
  • Review customer-entered orders for accuracy, pricing, costs, and product information, resolving discrepancies as needed.
  • Confirm sales orders to customers and transmit purchase orders to manufacturing partners.
  • Monitor open orders and communicate order status updates to the Customer Service team.
  • Coordinate with Customer Service, Production, Warehousing, Purchasing, and manufacturing partners to support timely order fulfillment.
  • Enter tracking information and maintain accurate order records.
  • Maintain product, pricing, and order information within the ERP system.
  • Serve as a backup resource for higher-complexity order processing activities.
  • Support process improvement initiatives by identifying opportunities to improve workflow efficiency and accuracy.
  • Participate in testing new processes and system enhancements.
  • Assist with developing and maintaining Standard Operating Procedures (SOPs).
  • Assist with training and supporting team members on order processing procedures as needed.
  • Provide general operational support to the Operations team.


Qualifications and Skills:

  • Associate's or Bachelor's degree in Business, Supply Chain, Operations, or a related field preferred.
  • 3-5 years of experience in order processing, operations, supply chain, or a related business function.
  • Experience working with ERP or order management systems (e-PIC experience preferred).
  • Strong Microsoft Excel and Microsoft Office skills.
  • Excellent attention to detail and organizational skills.
  • Strong problem-solving abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Demonstrated ability to identify opportunities to improve processes and workflow efficiency.
  • Ability to collaborate effectively across departments.
