Job Summary: 

The Coordinator, Order Management, is responsible for managing customer orders throughout the complete manufacturing lifecycle for Telamon's Shelter Manufacturing and Assembly Center (SMAC) located in Denton, Texas. This position serves as the primary coordination point between customers, Project Management, Engineering, Procurement, Manufacturing, Warehouse Operations, Logistics, and Finance to ensure ILA shelters, cabinets, and associated equipment are delivered accurately, on schedule, and in accordance with customer requirements.

This is an in-office position that requires daily collaboration with manufacturing personnel and cross-functional teams to support production schedules, customer commitments, and operational excellence.

 
Essential Duties and Responsibilities
  • Receive and process customer purchase orders, releases, and order revisions within Oracle ERP and associated business systems.

  • Coordinate customer orders from receipt through manufacturing, assembly, testing, shipment, and final delivery.

  • Manage production order status for ILA shelters, telecommunications cabinets, and related products manufactured within the SMAC.

  • Coordinate daily with Engineering, Procurement, Manufacturing, Warehouse, Logistics, Quality, Finance, and Project Management teams to ensure customer delivery commitments are achieved.

  • Maintain accurate production schedules, shipment schedules, and backlog reporting.

  • Monitor customer requested delivery dates and proactively communicate schedule changes or risks.

  • Coordinate material availability and work with Procurement to resolve shortages impacting production.

  • Work closely with Manufacturing Supervisors to prioritize production based upon customer commitments and project schedules.

  • Serves as a key cross-functional coordinator between Manufacturing, Operations, Engineering, Procurement, Logistics, Finance, and Customer Project Teams. 
  • Coordinate outbound shipments including freight scheduling, shipping documentation, and customer delivery requirements.

  • Interface with customers regarding order status, shipment schedules, pricing inquiries, engineering changes, and delivery updates.

  • Review engineering change notices (ECNs) and customer change requests to ensure manufacturing orders remain accurate.

  • Support milestone tracking for customer projects including manufacturing start, assembly completion, factory acceptance testing (FAT), shipment, and delivery.

  • Review inventory availability and coordinate with Warehouse personnel to ensure material readiness.

  • Investigate delivery delays and identify root causes while driving corrective actions.

  • Assist Finance with customer invoicing support, shipment verification, and resolution of order-related issues.

  • Prepare recurring reports including:

    • Order Backlog

    • Production Status

    • Customer Delivery Forecasts

    • On-Time Delivery (OTD)

    • Manufacturing Throughput

    • Open Order Reporting

  • Participate in daily production meetings and customer project review meetings.

  • Support continuous improvement initiatives focused on order accuracy, customer satisfaction, manufacturing efficiency, and on-time delivery.

  • Provide backup support for other Order Management Coordinators and operational functions as needed.

Managerial Responsibility

  • No direct reports.

Travel/Shift Requirements

  • Primarily office-based at the SMAC facility located in Denton, Texas.
  • Occasional travel (<10%) to customer locations, supplier facilities, or Telamon offices as business needs require.

Physical Demands

  • Primarily office environment with frequent interaction on the manufacturing floor.

  • Ability to sit, stand, and walk throughout the production facility.

  • Frequent computer and keyboard use.

  • Occasionally lift materials up to 25 pounds.

  • Ability to safely work in a manufacturing environment while following all safety procedures.

  • Talking/Hearing: Frequently - required for phone calls, video meetings, and team/customer interactions.

  • Vision: Constant - required to read emails, review orders, input data, and prepare reports (use of computer screen for extended periods).

  • Typing/Keyboarding: Constant - data entry and email communication.

Skills and Abilities Required

  • Experience utilizing Oracle ERP, Oracle Order Management, or similar ERP systems preferred.
  • Working knowledge of inventory management, manufacturing operations, logistics, and production scheduling preferred.
  • Experience interpreting production schedules, customer purchase orders, and engineering documentation is preferred.

Education and Experience Required

  • High school diploma required; associate or bachelor's degree preferred.
  • Minimum of three (3) years of Order Management, Customer Service, Manufacturing Coordination, Supply Chain, or Operations experience.
  • Telecommunications manufacturing experience preferred.
  • Experience with Oracle ERP, Manufacturing, or Order Management systems strongly preferred.
  • Experience supporting large infrastructure, telecommunications, or manufacturing programs is highly desirable.
