Order Entry Specialist

A growing machine shop in League City is seeking a qualified Order Entry Specialist to join their team. This contract-to-hire position is an excellent opportunity to become part of a dynamic team and help ensure the increased business is properly entered to meet manufacturing and delivery deadlines. We are seeking someone with strong attention to detail, experienced in fast paced manufacturing environments, knowledge of ISO standards, and a team player.

Position Summary

The Order Entry Specialist is an hourly, non-exempt position responsible for accurately reviewing customer contracts and purchase orders and entering orders into the company's ERP system. This role ensures customer requirements, pricing, terms, and delivery conditions are clearly understood and aligned with company capabilities before orders are released to production. The position supports Sales, Production, and Shipping teams and requires strong attention to detail, dependable attendance, and the ability to work in a fast-paced manufacturing environment.

Essential Job Duties and Responsibilities
  • Review customer purchase orders, contracts, and blanket agreements for accuracy, completeness, and compliance with company standards
  • Perform contract review to verify pricing, delivery requirements, lead times, part numbers, terms and conditions, and special customer requirements
  • Identify discrepancies, risks, or unclear requirements and escalate issues to Account Managers, Management, or Quality as appropriate
  • Accurately enter approved customer orders into the ERP/MRP system, including all contractually required details
  • Enter and process order changes, revisions, cancellations, and releases in accordance with contract terms
  • Communicate order confirmations, changes, and delivery updates to customers
  • Coordinate with Sales, Engineering, Production, Inventory, Quality, and Shipping to support contract and order fulfillment
  • Maintain accurate customer, order, and contract documentation and records
  • Monitor open orders and notify supervision of potential delivery or compliance issues
  • Support invoicing accuracy by ensuring order and contract details are correctly entered
  • Adhere to company policies, quality standards, safety procedures, and documented work instructions
  • Accurately track work hours and comply with scheduling and overtime requirements
Qualifications

Required:

  • High school diploma or GED
  • 1-3 years of experience in order entry, contract review, customer service, or administrative support
  • Strong data entry skills with a high level of accuracy
  • Ability to read, review, and interpret customer purchase orders and basic contract terms
  • Basic to intermediate proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to follow written procedures and work instructions
  • Reliable attendance and punctuality
Preferred:
  • Experience in a manufacturing or industrial environment
  • Experience performing contract review under ISO or quality management systems
  • Familiarity with ERP/MRP systems (JOBBOSS, SAP, Oracle, Dynamics, or similar)
  • Knowledge of pricing structures, lead times, freight terms, or customer-specific requirements
