Job description

Belchertown Eye Care is looking for an exceptional Receptionist/Office Manager to become the heart of our practice. This is much more than a front desk position. It is an opportunity to help people feel cared for and be part of a team who genuinely loves what we do.

The ideal candidate, most importantly, will provide a superb customer experience and have an always friendly and helpful demeanor with excellent communication skills. Prior administrative experience working in an Optometric / Ophthalmic office supporting multiple levels of employees is required. He/she greets patients and must be kind and approachable at all times. The ideal candidate has a healthy initiative and can anticipate needs.

Responsibilities: 

  • Reception - Welcome patients with a smile, answer phones, triage, schedule patients, handle recalls and referrals, insurance verification. Answer questions related to both Optometry and Optical areas of the practice, resolving patient concerns, all with the goal of helping to increase optical sales. Proficient in using an EHR, preferably, MaximEyes as well as Quick Books and Weave. 
  • Manage - Oversee general administrative functions in the office. Front desk management, organize company meetings. Supervise, monitor and delegate work to administrative staff as needed. Keep the office running smoothly. Organize onboarding programs for new employees. . 
  • Coordination - Respond to correspondence. Sort and organize company emails. Provide support to other administrative staff including answering phones. Organize and maintain a system for accounts receivable and payable, coordinate and prepare documents and/or files for the Doctor.

Requirements:

  • A high school diploma or equivalent is required; Associate degree preferred
  • Three years of previous office management experience at either an Optometry or Ophthalmology practice
  • Superb communication skills
