Job description

The Manager of Health Information Management (HIM) leads, coordinates, and optimizes day-to-day operations across the Health Information Department. This position is responsible for system design, process improvement, workflow efficiency, and maintaining overall regulatory compliance for patient medical records across multiple clinical sites.

Serving as a primary liaison between HIM, IT, medical staff, and executive leadership, the HIM Manager ensures medical record accuracy, integrity, and timely Release of Information (ROI) while fostering a high-performing, compliant operational environment.

Key Responsibilities

Departmental Operations & Leadership

  • Operational Oversight: Plan, direct, and evaluate all core HIM functions—including legal medical records maintenance, record completion, and ROI across multiple clinical locations.
  • Team Supervision: Lead, mentor, and develop HIM staff. Manage hiring, onboarding, performance reviews, shift scheduling, and cross-training initiatives in alignment with organizational standards.
  • Productivity & Performance: Monitor daily departmental workflows to ensure established turnaround times, quality benchmarks, and key performance indicators (KPIs) are met.

Regulatory Compliance & Legal Medical Records

  • Policy & Compliance Management: Maintain and update departmental policies to strictly align with HIPAA regulations, The Joint Commission standards, CMS guidelines, and state/federal privacy laws.
  • Subpoenas & Legal Requests: Direct the legal medical record and release-of-information processes, ensuring compliant, timely responses to court subpoenas, legal requests, and external audits.
  • Record Integrity: Oversee documentation compliance, medical record conversion, and long-term secure record storage projects.

Systems Integration & Process Improvement

  • EHR Optimization: Partner with Information Technology (IT) and clinical teams on Electronic Health Record (EHR) content development, data standardization, and system integration.
  • Workflow Enhancement: Identify operational bottlenecks and implement continuous quality improvement (CQI) initiatives to streamline processes across clinical and business units.
  • Reporting & Resource Oversight: Prepare regular statistical, productivity, and quality improvement reports for leadership. Manage departmental supply allocations and resource distribution.

Required Qualifications

Education & Credentials

  • Education: Bachelor’s degree in Health Information Management (HIM), Health Informatics, or a closely related field.
  • Certifications: RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician) preferred.

Experience

  • Management Experience: Minimum of 5 years of progressive healthcare leadership/supervisory experience in a Health Information environment.
  • Fiscal & Operational Leadership: Proven experience managing operational workflows, resource allocations, personnel budgets, and supervisory teams.
  • EHR Mastery: Advanced knowledge of Electronic Health Record (EHR) systems implementation, optimization, and data workflow design.

Skills & Knowledge

  • Regulatory Expertise: In-depth knowledge of HIPAA, The Joint Commission, CMS regulations, legal medical record standards, and state/federal health privacy laws.
  • Clinical Documentation: Sound understanding of health documentation compliance, coding principles, and legal release-of-information protocols.

Preferred Qualifications
