Purpose
 The Spa Coordinator leads the Hospitality Team to provide an exceptional customer experience before, during, and after services. We are seeking an individual with a relentlessly positive attitude, strong interpersonal skills, and proven leadership experience in driving sales and hitting key KPIs. The ideal candidate will work closely with therapists, concierge, and spa attendants to ensure each guest is comfortable, on schedule, and receives a signature experience while being dedicated to growing with our team.

The Spa Coordinator is responsible for conforming to standards set forth in the Team Member Handbook and Operations Manual, consistently striving to exceed guest and team expectations with a true attitude toward service.
Responsibilities
  • Manage a team of 9-14 employees
  • Answer phones
  • Assist General Manager with duties as needed
  • Covers duties of Hospitality Team members when necessary
  • Schedules Hospitality Team shifts monthly
  • Delegates spa duties effectively to Hospitality Team
  • Ensure laundry services are completed daily
  • Schedule appointments using computer software. Takes full ownership of the appointment book.
  • Maintain organization of boutique area
  • Escort guests to dressing room, service areas, etc., when needed 
  • Provide amenities to guests when needed
  • Schedule and coordinate Spa Parties to host curated gatherings
  • Coordinate Hospitality Team building activities and events outside of work hours 1-2 times a year
  • Perform an opening sweep daily to make sure all opening duties have been completed
  • Process refund requests
  • Process time off requests submitted by Hospitality Team
  • Process online gift cards
  • Handle guest discrepancies and guests who are not satisfied with their spa experience
  • Greet guests enthusiastically and creating long lasting relationships with guests
  • Confirm appointments
  • Prepare, sale, and upsell gift cards
  • Check in new retail products, process purchase orders
  • Submit inventory orders of Retail Area and Back of House
  • Recommend and close retail product sales
  • Educate guests on spa services and retail products
  • Educate concierge on best practices and techniques for sales, communication, etc.
  • Give frequent feedback and coaching to Hospitality Team members
  • Train Hospitality staff to completion and provide continuing education for all concierges.
  • Ensure proper lighting, music, cleanliness, and aromatherapy as set forth in the Ambiance Standards
  • Monitor relevant KPIs and reports
  • Encourage KPI growth with engaging competitions or trainings
  • Hold meetings that are conducive to Hospitality Team development
  • Ensure all policies and SOPs are followed and current within the department.

Work Hours

The Spa Coordinator is expected to work a minimum of 32 hours per week including evening and weekend shifts. Shifts range from 9am-5pm, 12pm-7pm (Monday through Thursday), 9am-5pm, 10am-6pm, 12pm-8pm (Friday through Saturday) and 10am-6pm (on Sundays).
