Job description

Sun Valley Resort is seeking a highly organized and collaborative Mountain Operations Office Manager to oversee the administrative and business operations for all Mountain Operations departments. This position serves as a key business partner to department leaders by managing payroll, budgeting, purchasing, vendor contracts, reporting, and operational systems while ensuring efficient day-to-day administrative operations. The Mountain Operations Office Manager works closely with internal departments and external agencies to support safe, efficient, and successful mountain operations. The ideal candidate is a proactive problem solver with exceptional organizational, financial, and communication skills who thrives in a fast-paced environment.

Duties & Responsibilities:   

  • Lead the daily administrative operations supporting all Mountain Operations managers and departments, ensuring efficient processes and effective communication.
  • Prepare operational reports, financial summaries, meeting agendas, meeting minutes, presentations, and other administrative documentation for department leadership.
  • Manage vendor agreements, service contracts, permits, and renewals while maintaining accurate documentation and ensuring compliance with Resort policies.
  • Assist department leaders with budget development, expense tracking, forecasting, and financial reporting to support operational and business objectives.
  • Manage employee payroll using UKG/Kronos, audit payroll records for accuracy, and serve as the primary resource for payroll-related questions.
  • Oversee purchasing activities, including purchase orders, invoices, receipts, vendor payments, and departmental procurement using Coupa and other purchasing systems.
  • Maintain department records, operational files, regulatory documentation, and confidential employee information in accordance with company policies.
  • Serve as the department subject matter expert for operational systems, including UKG, Kronos, Coupa, Microsoft Office, and other business applications.
  • Coordinate with external agencies and partners, including the U.S. Forest Service, local building departments, utility providers, and other vendors/regulatory agencies.
  • Support department managers with onboarding, training coordination, employee communications, policy administration, and operational initiatives.
  • Manage the Learning Management System (LMS) for all Mountain Operations departments.
  • Oversee Mountain Driver Training and Motor Vehicle Reports for all Mountain Operations departments.
  • Maintain Mountain Operations office supplies, equipment, and employee bulletin boards to support efficient daily operations.
  • Respond professionally to department phone calls, emails, and inquiries from employees, guests, vendors, and business partners.
  • Operate company vehicles as needed to transport supplies, equipment, or personnel while following company policies and safe driving practices.
  • Attend meetings, participate on committees, and represent the Mountain Operations Department.
  • Serve as the primary liaison between Mountain Operations and Resort departments, including Human Resources, Finance, Lodging, Ski & Ride School, Food & Beverage, Recreation, Catering, and Risk Management.
  • Identify opportunities to improve operational efficiency, administrative workflows, and business processes across Mountain Operations.
  • Supervisory responsibilities of administrative staff may be assigned including hiring, training, scheduling, performance management, and professional development.
  • Perform additional duties as assigned.

Qualifications: 

  • Associate's or bachelor's degree in Business Administration, Accounting, Finance, Hospitality, or a related field preferred; equivalent experience will be considered.
  • Three or more years of progressive administrative, business operations, office management, or related experience preferred.
  • Valid U.S. Driver's License required.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook, with the ability to learn and effectively utilize systems such as UKG, Kronos, Coupa, and other operational software.
  • Strong financial aptitude with experience interpreting reports, tracking expenses, and supporting budget management.
  • Exceptional organizational, project management, and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent verbal and written communication skills with the ability to build collaborative relationships across departments and with external partners.
  • Ability to work independently, prioritize competing responsibilities, and complete projects with minimal supervision.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with professionalism
  • Self-motivated with the ability to work independently, solve problems proactively, and continuously improve administrative processes.
  • Intermediate skiing or snowboarding ability is beneficial but not required.
  • Ability to work a flexible schedule, including occasional evenings, weekends, and holidays as business needs require.
  • Engage in physical activities like standing for long periods, walking, and utilizing hands for tasks that involve gripping, handling, and reaching.
  • Ability to safely lift and/or move up to 25 pounds.
