Executive Assistant

The Executive Assistant provides high-level administrative and operational support to senior executives in a dynamic, fast-paced business environment. This role is responsible for managing complex calendars, coordinating travel, preparing expense reports, handling confidential information, and ensuring seamless day-to-day executive operations. The Executive Assistant serves as a trusted partner to leadership, proactively managing competing priorities and enabling executives to focus on strategic business objectives.

Essential Job Functions

  • Manage highly complex executive calendars, including scheduling, prioritizing, and resolving conflicts across multiple stakeholders and time zones.
  • Coordinate domestic and international travel arrangements, including itinerary preparation, logistics, and travel expense reconciliation.
  • Prepare, submit, and track expense reports in compliance with company policies and financial guidelines.
  • Support executive meetings by coordinating agendas, preparing materials, capturing action items, and ensuring follow-through on commitments.
  • Serve as a primary point of contact for internal and external stakeholders, maintaining professionalism and confidentiality.
  • Manage sensitive and highly confidential information with discretion and sound judgment.
  • Coordinate organizational events, leadership meetings, team off-sites, and executive communications.
  • Track and monitor key deliverables, deadlines, and action items to ensure timely completion.
  • Develop and maintain administrative processes that improve efficiency and executive productivity.
  • Assist with reporting, presentation preparation, and data management to support decision-making.
  • Partner with internal teams including Human Resources, Finance, Operations, and senior leadership to facilitate business priorities.
  • Anticipate executive needs and proactively address issues before they impact business operations.
  • Perform additional administrative and operational support duties as assigned.

Basic Qualifications

  • Bachelor's degree in Business Administration, Communications, or related field; or equivalent combination of education and experience.
  • Typically 5+ years of experience supporting senior executives in a fast-paced corporate environment.
  • Demonstrated experience managing complex calendars, travel arrangements, and expense reporting.
  • Strong organizational, prioritization, and multitasking skills.
  • Exceptional verbal and written communication skills.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to maintain confidentiality and exercise sound judgment in sensitive situations.
  • Proven ability to work independently with minimal supervision.

Preferred Qualifications

  • Experience supporting Vice Presidents, Senior Vice Presidents, or C-level executives.
  • Experience managing multi-executive calendars and global stakeholders.
  • Project coordination and event planning experience.
  • Professional certification such as Certified Administrative Professional (CAP) is a plus.
  • Strong analytical and problem-solving skills with attention to detail.
