JOB DESCRIPTION OF PROJECT AND TASKS:

Position Overview

The operations Coordinator Managed Services is responsible for supporting the day-to-day operations of the Managed Services program by coordinating workforce activities, employee relations, customer communications, project administration, and operational reporting. This role partners with Operations leadership, Program Managers, HR, recruiters, technical teams, and customers to ensure efficient service delivery, workforce readiness, compliance, and a positive employee experience.

Key Responsibilities

  • Coordinate daily operations, team schedules, meetings, calendars, and customer reviews, including Quarterly Business Reviews (QBRs).
  • Manage workforce planning by coordinating employee schedules, PTO, on-call rotations, staffing forecasts, and resource utilization to ensure contractual service levels are met.
  • Support employee lifecycle activities, including onboarding, offboarding, orientation, equipment and system access, performance tracking, attendance management, training, certifications, and employee engagement initiatives.
  • Foster positive employee relations by conducting regular check-ins, assisting with conflict resolution, supporting employee recognition programs, and promoting retention efforts.
  • Partner with recruiting to coordinate hiring activities, interviews, staffing needs, subcontractor onboarding, and workforce planning.
  • Prepare operational reports, dashboards, meeting minutes, and customer status updates while maintaining project documentation, organizational charts, and operational records.
  • Coordinate communication between Operations, Program Managers, technical teams, customers, and subcontractors to ensure timely completion of deliverables, service requests, and escalations.
  • Perform gap analyses, monitor operational metrics, identify process improvement opportunities, and support the development of Standard Operating Procedures (SOPs) and continuous improvement initiatives.
  • Ensure compliance with company policies and government contracting requirements by tracking mandatory training, certifications, background investigations, audit documentation, and employee records.
  • Support Managed Services operations by providing administrative and operational assistance to technical teams and leadership.
  • Configure Sharepoint web interface to maintain and classify documentation created by various team members.

Required Qualifications

  • Bachelor s degree in business administration, Human Resources, Management, Information Systems, or a related field, or equivalent experience.
  • 3 5 years of experience in operations coordination, workforce management, HR operations, project coordination, or managed services.
  • Strong organizational, communication, and multitasking skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, and Teams).
  • Experience supporting government contracting, managed services, or IT operations is preferred.
  • Good Sharepoint experience a must.
