JOB TITLE: Sales Administrative Assistant

DEPARTMENT: Sales

POSITION SUMMARY

Rex Lumber is seeking a detail-oriented and highly organized Sales Administrative Assistant to support the Sales Department. This position provides administrative, reporting, inventory, and customer service support while receiving cross-training in Sales Assistant functions to provide departmental coverage as needed.

The ideal candidate will possess strong computer skills, attention to detail, excellent organizational abilities, and the ability to work effectively in a fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist sales personnel with customer requests, order entry, invoicing, and administrative support.
  • Respond to customer inquiries
  • Maintain inventory records and perform inventory adjustments, reconciliations, and reporting.
  • Verify and process invoices, freight adjustments, credit memos, and customer documentation.
  • Prepare daily, weekly, monthly, and quarterly reports utilizing company software and Microsoft Excel.
  • Assist with production reporting, inventory tracking, physical inventories, and operational documentation.
  • Create and maintain work orders and other department records as needed.
  • Prepare and distribute reports, forms, certificates, and other documentation required to support sales and operations.
  • Attend required meetings and training sessions.
  • Cross-train in Sales Department functions to provide support and coverage during absences or increased business demands.
  • Perform other duties and responsibilities as assigned.

ORGANIZATIONAL RELATIONSHIPS

  • Reports to the Sales Manager.
  • Receives day-to-day training and guidance from the Sales Assistant.
  • Works closely with Sales, Shipping, Production, Kiln Operations, Accounting, and Administrative personnel.

QUALIFICATIONS

Required:

  • High school diploma or equivalent.
  • Proficiency in Microsoft Excel, Word, Outlook, and general computer applications.
  • Strong data entry and typing skills.
  • Excellent organizational and time management abilities.
  • Strong attention to detail and accuracy.
  • Effective verbal and written communication skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work independently and as part of a team.
  • Ability to learn and effectively utilize company software, systems, and Microsoft Excel spreadsheets.

Preferred:

  • Experience with inventory management or ERP systems.
  • Experience in manufacturing, logistics, sales support, customer service, or administrative roles.
  • Intermediate to advanced Microsoft Excel skills.

PHYSICAL REQUIREMENTS

  • Ability to sit for extended periods while working on a computer.
  • Ability to occasionally walk through manufacturing and warehouse environments.
  • Ability to lift up to 20 pounds occasionally.
