East Coast Operations Support Manager

 

Position Summary

The CFGI East Coast Operations Support Manager will sit in either Stamford, CT or Washington, DC and will provide operational, administrative, and coordination support across the organization. This role helps ensure business operations run smoothly by supporting internal processes, team coordination, reporting, vendor management, meetings, events, and other business needs.

The Operations Support Manager serves as a key coordination point for leadership, administrative colleagues, and cross-functional teams. The ideal candidate is highly organized, proactive, service-oriented, and comfortable managing multiple priorities in a fast-paced professional services environment.

 

Key Responsibilities

 

Operations and Administrative Support

  • Coordinate internal requests, business support needs, follow-up items, and cross-functional communication
  • Maintain procedures, documentation, trackers, reports, meeting materials, and operational records
  • Support and improve templates, workflows, standard operating procedures, and internal processes
  • Monitor deadlines, deliverables, and action items to ensure timely follow-through
  • Identify opportunities to improve efficiency, reduce duplication, and promote consistency

 

Business Coordination and Support

  • Support market/product operations (timesheets, utilization, invoices, chasing updates to close date/status & next steps for pipeline review calls, etc.) via Salesforce and Power BI
  • Organize information, resources, processes, and communication channels that support effective operations
  • Partner with stakeholders to resolve requests, advance priorities, and ensure follow-up
  • Support onboarding logistics, workspace readiness, internal announcements, and employee engagement activities
  • Help maintain a professional, organized, and responsive support environment

 

Team and Leadership Support

  • Support the partner group to translate strategic goals into actionable plans via Salesforce and assist with coordination and management of key strategic in-market activities, including scheduling and planning key client/prospect/referral partner meetings and related prep work, holding the pen on drafting content and insights, and working alongside the PMD group
  • Liaise with the PMD group to set up and manage campaigns to measure ROI on strategic sales and marketing investments, measure progress on top-of-funnel channel activity for the PMD group, and establish opportunities via Salesforce for pre-qualified leads, taking data-entry responsibilities away from the PMD group
  • Provide meeting and operational support to leaders and teams, including scheduling, agendas, notes, action items, and follow-up
  • Support communication between leadership, administrative teams, and cross-functional groups
  • Assist with internal planning, team initiatives, and execution of operational priorities
  • Handle confidential, sensitive, and business-critical information with discretion and sound judgment

 

Meetings, Events, and Logistics

  • Support planning and execution of meetings, trainings, events, team gatherings, and other business activities from idea to execution to follow-through
  • Assist in coordinating marketing campaigns, social media posts, and digital communications in collaboration with internal or external marketing partners
  • Coordinate logistics, including venues, catering, room setup, materials, attendee tracking, invitations, transportation, and follow-up
  • Partner with stakeholders to ensure meetings and events are organized, professional, and aligned with CFGI standards
  • Assist with travel, hotel arrangements, itineraries, and related logistics as needed
  • Track event details, budgets, confirmations, timelines, and vendor communications

 

Vendor, Procurement, and Invoice Support

  • Coordinate with vendors and service providers to obtain quotes, confirm services, track deliverables, and resolve issues
  • Support purchase requests, invoice tracking, payment follow-up, and coordination with internal teams
  • Maintain vendor records, agreements, costs, and recurring service details
  • Ensure spending, approvals, and documentation align with CFGI policies

 

Reporting, Data, and Process Improvement

  • Maintain trackers, dashboards, status reports, and data summaries to support planning and decision-making
  • Collect and analyze information related to business support needs, expenses, vendors, events, workload, and processes
  • Provide updates on progress, issues, trends, and recommended improvements
  • Identify process gaps and support practical improvements to ways of working
  • Ensure information is accurate, organized, and accessible

 

Cross-Functional Collaboration

  • Work with internal teams to coordinate support and resolve business needs
  • Help align administrative and operational practices with CFGI policies and expectations
  • Support communications, onboarding, employee engagement, and other cross-functional initiatives
  • Build strong relationships and contribute to a collaborative, responsive, service-focused culture

Reporting Relationship

This role reports to the Head of Administration and Events with dotted line reporting to each leader they support.

 

Work Environment

This role provides hands-on operational and administrative support and may require in-office presence for business operations, meetings, events, visitors, and team needs. Flexibility may be required based on business priorities and schedules.

 

Overall Objective

The Operations Support Manager strengthens CFGI’s operations by providing reliable, proactive support across administration, coordination, reporting, meetings, events, vendor management, and cross-functional initiatives. This role helps teams work efficiently and deliver a high-quality experience for employees, clients, visitors, and stakeholders.

CFGI is dedicated to offering our employees strong and inclusive total compensation packages. Offer packages are based on several factors, such as the specific role and level being hired for, location, as well as the individual's skills, experiences, and qualifications. The good-faith estimated base salary range for this position is: $70,000 - $75,000. In addition to the base compensation, CFGI offers a competitive benefits package and various bonus programs and incentives, based upon an individual’s level and overall work performance.
