SUMMARY:
Responsible for scheduling surgeries, pre-admission screenings and patient teaching classes as well as providing secretarial/scheduling coverage for the OR desk. Interaction with surgeons, surgeon's office staff, OR nursing staff and Patient Access staff on a daily basis. Requires strong data entry skills and knowledge of medical terminology. Minimum of 1 year of Scheduling or Medical Office experience required. Orthopedic background beneficial.
PRINCIPAL FUNCTIONS:
  1. Answers telephone in a professional manner and communicates messages.
  2. Communicates effectively and courteously with patients, families, staff physicians, and other departments
  3. Notifies x-ray, blood bank, PACU, and CSS of any added procedures or cancellations.
  4. Is aware of the arrival times of surgeons and assistants and communicates this information to the operating rooms.
  5. Keeps the OR desk neat and clean.
  6. Assists in obtaining pending lab/EKG/X-ray reports and communicates results to anesthetist or primary nurse.
  7. Enters postoperative data correctly into MSM.
  8. Sends postoperative data report to Medical Records by 11:00 am the next surgical day.
  9. Organizes and maintains operating room patient records, count sheets, and laser log.
  10. Files post-ops after day has been completed, in scheduling office and boxes records at appropriate time for storage.

5. Performance of general duties as required
  1. Types correspondence, departmental memos, and other information.
  2. Does the departmental copying when needed.
  3. Keeps patient and employee information confidential.
  4. Notifies Scheduling Supervisor when appropriate par levels of forms and office supplies are low.
  5. Prepares staffing and on call schedules.
  6. Uses accepted medical terminology and abbreviations in performance of duties.
  7. Copies and distributes surgical schedule for the following day.
  8. Demonstrates understanding and knowledge of the computer systems used in the operating room.
  9. Understands the functions and is able to input, update, and maintain the scheduling system
  10. Schedules all surgical procedures.
  11. Is aware of equipment, room, staffing, and block time constraints.
  12. Works with physician's offices to accommodate requests within a reasonable time frame.
  13. Works with the Charge Nurse or Nurse Manager to help facilitate a schedule that allows efficient utilization of the operating room resources.
  14. Obtains necessary booking information from person requesting surgical time.
  15. Communicates special equipment, instruments and supply requests in the equipment pool in MSM.
  16. Refers conflicts and procedural questions to Scheduling supervisor, Charge Nurse or Nurse Manager.
  17. Understands and is able to use the hospital order system to access admission data.
  18. Schedules surgical procedures in computer systems, MSM and Meditech.
  19. Changes status of AM admissions in Meditech by running report at the end of each day.
  20. Assist charge nurse with schedule efficiency
  21. Calls surgeon offices for availability to move up for more efficient OR use.
  22. Schedules Add-on procedures and prints Pick list for CSS.
  23. Communicates to the Bond Center when a surgeon is ahead of schedule.
  24. Notifies x-ray department of procedures requiring a technician.
  25. Corrects improper bookings and generates new pick list to be distributed to CSS.
  26. Copies assignments on schedule to be posted for the following day.
  27. Completes staffing cards (blue cards) two weeks in advance.

1 year of Scheduling and Medical Office experience preferred
