AKA Hotels+Hotel Residencies is recruiting for an energetic Sales Coordinator to support our Boston Sales team! This is a dual role based out of our Back Bay property, supporting both Hotel AKA Back Bay and Hotel AKA Boston Common.

Responsibilities:
  • Engage all guests, clients, and team members with an upbeat can-do attitude, encouraging repeat business
  • Utilize PMS reservation system to provide transparent communication to on property team
  • Assist group sales team with responding to group sales leads as needed by email and Cvent, and ensuring group pipeline is constantly up to date
  • Dedicated sales support for Sales Director, Business Travel to include communicating with high level VIP company and travel agents.
  • Partner with Business Travel Director to ensure the CRM, SELL is updated with client information and the most up to date pipeline
  • Arrange amenities and welcome notes for VIP sales clients, review arrivals report 3 days prior to notify team of upcoming VIP stays
  • Fluent with AKA rate loading guidelines, partners with Leadership and Revenue team to ensure all information is accurate
  • Respond to all social leads, to include inquiries for weddings, reunions etc. to include partnering with Conference Services Manager to service groups
  • Assist Team in maintaining Cvent & Hotel Planner platform for the property, making sure descriptions are updated and leads are responded to
  • Attend department meetings as required, to include week sales meetings and Operations meetings
  • Provide tours for clients on behalf of the sales when needed, as well as individuals booking social events
  • Provide support on the pre-arrival engagement with all key clients
  • Assist Sales team daily, on request, for assistance with individual reservations
  • Organize TEAMS files, confirming collateral and documents being used are current
  • Assist with related administrative responsibilities and perform other duties as assigned, requested, or deemed necessary by management

  • Thorough knowledge of food and beverage operations including foods, beverages, supervisory practices and philosophy, service techniques, kitchen operation and guest interaction.
  • Demonstrated strong resident service, problem solving and decision making skills.
  • Successfully manages people to achieve performance goals. Excellent people management skills including resolving conflict, coaching and developing others, promoting teamwork, and performance management.
  • Takes an exhaustive approach to every task. Committed to comprehensive and in-depth analysis, planning, and implementation of every work effort.

Required Qualifications:
  • Minimum 1-3 experience working in a hotel or 1-3 years in event sales
  • Bachelor's degree (B. A.) from four-year College or University
  • Experience with Opera, ASEM experience preferred
  • Must be positive, energetic, self-starter and self-motivating
  • Superior organization skills in high pace environment
  • Strong time management, organization skills with an emphasis on attention to detail
  • Must be extremely flexible and adaptable to daily frequent changes in a fast-paced environment
  • Must have proficient knowledge of a variety of computer software applications in word processing spreadsheets, database, and presentation software (MSWord, Excel)
  • Flexible hours might be required based on client needs and time zones

Physical Requirements:
  • Must be able to lift up to 50 lbs.
  • Sits, stands, bends, stretches, lifts items and moves intermittently during working hours.
