Job Summary:
The Department of Ambulatory Care Services at SUNY Downstate Health Sciences University is seeking a full-time TH Staff Assistant 2 / OPD Registrar. The successful candidate will:
  • Interview and verify patient demographic and financial information for input into the hospital Eagle system.
  • Utilize the EMEVs and Relay insurance verification system to verify coverage.
  • Have patients completely fill out financial screening forms including patient's signature.
  • Have patients sign the consents, financial agreement form, HIPPA form, Patient Agreement, and other forms.
  • Scan documents (Insurance Cards, Photo ID's Consent, HIPAA, Healthix, Referral/Consult and other medical documentation to OnBase.
  • Collect copayments at time of service.
  • Secure authorization/referral for reimbursement from insurance companies at the time of service. All self-pay patients must be sent to the financial screening unit for assessment.
  • For areas using paper charts, prepare the patient's medical chart with appropriate documentation.
  • Assist the patient with inquires.
  • For areas not on Healthbridge electronic encounter form, close visits at the time of service with the appropriate diagnosis in Eagle and post charges in the TAO system.
  • Reconcile encounter forms with daily visit listing report/audit encounter forms for compliance.
  • Place lab orders in Cerner for referred services.
  • Arrange timely appointments for patients. Reschedule patient visit upon request.
  • Assure that telephone calls are answered and that the needs of the patients are addressed with a minimum of delay. Assure especially that patients with perceived emergencies or other urgent needs are triaged quickly and properly.
  • Ensure that appropriate measures are taken to follow up on the no show patients and that the no show letter is printed using Healthbridge/and or form letter.
  • Collect e-mail addresses and assist with signing up and sending out invites to patients for the Hospital's Patient Portal System.
  • Interface with the Medical Director, the providers, the Nursing staff, and other staff within the OPD clinic to ensure proper coordination of services on behalf of the patients. Inform the Medical Director or designee of any unusual circumstances without delay.

Required Qualifications:
  • 0 - 1 year of clerical or registration experience in a healthcare, medical office or hospital setting
  • High School Diploma or GED
  • Proficiency in Microsoft Office (Access, Excel, PowerPoint, Word)
  • Or, a satisfactory equivalent combination of education, training, and experience

Preferred Qualifications:
  • Associate or Bachelor Degree
  • Proficiency in medical terminology
  • Experience with insurance verification (Medicare, Medicaid, HMOs)
  • Experience using the EAGLE system or similar Electronic Health Records platform
  • Bilingual skills (Creole and/or Spanish; Mandarin and/or Cantonese; Arabic)
