JOB DESCRIPTION
CLERICAL ASSISTANT
GENERAL DESCRIPTION
The position of Clerical Assistant is responsible for greeting, directing and communicating with students, staff, parents and the community; performing general clerical duties; preparing various documents and reports; maintaining files; supervising the health room.
Reports to and evaluated by: Building Principal or Designee
ESSENTIAL FUNCTIONS:
  • Answer the telephone and respond to inquiries from parents, staff, and the community; provide information or refer to proper person(s).
  • Maintain data to provide current and accurate information (i.e. attendance, discipline, health records, registration/withdrawals, requisitions/purchase orders, volunteer data).
  • Prepare and generate various documents and reports to disseminate to students, parents, staff, outside agencies and the community (i.e. attendance reports, class lists, student information, medication and health logs).
  • Collect and receipt funds received from students or the community for ASB, customer work, book fines, field trips, and fundraisers.
  • Supervise the health room; dispense medications as requested; administer first aid as necessary.
  • Contact parents and staff regarding health issues, attendance, discipline.
  • Maintain supplies, materials and equipment to maintain availability of items.
  • Assist and orient substitutes; provide substitute information packet and classroom keys.
  • Schedule activities and events, as required (i.e. calendars, parent conferences, student screenings, and parent advisory groups).
  • Supervise and train office staff, student assistants and volunteers, as directed.
  • Sort and distribute mail.
  • Attend meetings and training as required to improve knowledge and skills.
  • Perform other duties as assigned.
QUALIFICATIONS
  • Education: High School diploma or equivalent required.
  • Experience: Prior experience in a school office environment preferred.
  • Possess skills to operate standard office equipment, including computer and relevant software. Minimum keyboarding speed 40 wpm.
  • Knowledge of general clerical procedures, utilizing word processing, spreadsheet and database software.
  • First Aid and CPR certification or the ability to obtain required.
  • Ability to communicate effectively both orally and in writing, demonstrating the proper use of grammar, punctuation and spelling.
  • Possess effective human relations skills.
  • Ability to work with minimal supervision; organize and prioritize and work; establish and maintain cooperative working relationships with staff, students and the community.
  • Ability to maintain confidentiality in all work related matters.
