Title: High School Treasurer
Expectations:
The Valparaiso High School Treasurer is responsible for managing the school's financial operations with accuracy, integrity, and efficiency. This position oversees school, extracurricular, and athletic accounts while ensuring compliance with district policies, state regulations, and established accounting procedures. The Treasurer serves as a key resource for staff, students, parents, vendors, coaches, sponsors, and the district Business Office by providing exceptional customer service, maintaining accurate financial records, and supporting the financial needs of the school community.
Essential Duties and Responsibilities:
  • Be aware of and follow Board policies, administrative rules, and established financial procedures
  • Maintain accurate and confidential financial records for school, extracurricular, and athletic accounts
  • Process purchase orders and accounts payable for state, extracurricular, and athletic accounts
  • Coordinate purchase order requests, distribute appropriate paperwork, collect invoices, verify receipt of goods, and submit documentation to the Business Office
  • Prepare and process deposits for extracurricular and athletic accounts while maintaining accurate records
  • Prepare monthly bank reconciliations and required financial reports, including Gateway uploads and other state reporting requirements
  • Coordinate annual financial reporting with the Finance Department
  • Provide regular account balance updates to department chairs, coaches, sponsors, and other stakeholders to assist with budget planning and forecasting
  • Manage school purchasing accounts, procurement cards, and vendor relationships, and athletic purchasing cards
  • Process new vendor paperwork and maintain required tax documentation, including W-9 forms and donation records
  • Approve fundraiser requests and donation forms in accordance with district procedures
  • Manage Vanco/RevTrak online payment events, including creation of fundraising and event pages, reconciliation of online sales, processing refunds, and distributing sales reports
  • Coordinate financial procedures with coaches, club sponsors, department chairs, and testing coordinators, including AP testing payments and annual sponsor meetings
  • Maintain accurate records for SA-8 deposit forms and oversee their distribution
  • Process and reconcile textbook rental fees, Media Center fines, technology repair fees, and other student fees within Skyward
  • Work collaboratively with Media Center and Technology staff to maintain accurate student fee records and process adjustments as needed
  • Assist parents and guardians with textbook and student fee payments while maintaining accurate payment records
  • Support department chairs with textbook and instructional resource adoption procedures
  • Coordinate student fee changes for individual classes as needed
  • Transfer required funds, including textbook rental and Coffee House revenue, to the Administration Office according to district procedures
  • Maintain accurate records of Coffee House sales and applicable tax revenue
  • Assist with Academic Excellence Awards, Commencement preparations, Parking Pass distribution, and other school events requiring financial support
  • Collect and prepare financial documents requiring the principal's approval
  • Maintain communication with vending machine vendors and other contracted service providers.
  • Provide proofreading, editing, and clerical support as needed
  • Assist the attendance office and other school offices during periods of high need
  • Demonstrate exceptional organizational skills, attention to detail, professionalism, and customer service
  • Maintain effective working relationships with staff, students, parents, vendors, and district personnel
  • Perform other duties as assigned by the principal
