Description:
Office Support Responsibilities
  1. Sort, distribute, and process incoming mail and correspondence daily.
  2. Prepare and mail outgoing documents including statements, refund checks, appeals, medical records, and payer correspondence.
  3. Receive, log, and prepare checks and payments for deposit in accordance with agency procedures.
  4. Process approved patient, payer, and vendor refunds accurately and timely.
  5. Route correspondence, denial notices, and payer communications to appropriate departments.
  6. Maintain confidentiality of patient and financial information in accordance with HIPAA and company policies.

Billing Responsibilities
  1. Prepare and submit clean claims to various insurance companies for assigned locations and payers.
  2. Review outstanding accounts receivable balances and perform follow-up activities.
  3. Analyze remittance advice and post payments, adjustments, and denials accurately.
  4. Document collection efforts and account activity in the EHR system.
  5. Answer billing questions from patients, staff, and insurers while resolving billing concerns and complaints.
  6. Monitor client statements and assist with collection activities as directed.
  7. Communicate billing issues, trends, denials, and payer concerns with leadership and team members.
  8. Maintain knowledge of payer requirements, reimbursement methodologies, and billing regulations.
  9. Attend and contribute to department and agency meetings.
  10. Demonstrate initiative and assist coworkers as workload requires.
  11. Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES
  1. Knowledge of medical billing processes, insurance claims, payment posting, and collections.
  2. Knowledge of office administrative functions including mail processing, check handling, document management, and record retention.
  3. Ability to maintain accurate records and handle confidential information.

  5. Experience with Electronic Health Record (EHR) systems preferred.
  6. Basic understanding of medical claims processing and reimbursement practices preferred.
