Location: Bethesda, Maryland (Hybrid)

Reports To: Manager, Data Entry

FLSA Status: Exempt

Position Summary:

The Specialist, Data Entry is responsible for entering all check payments and helping to maintain the accuracy and integrity of information in the membership and IMIS database. The Specialist additionally supports check processing, registration, and daily administrative needs in a fast-paced team environment.

Key Responsibilities:

1) Create batch reports in the membership database

  • Download lockbox deposit report to enter payments for membership dues, registrations, sponsorships and exhibits.
  • Process check payments in Finance Bank Deposits folder deposited by Operations.
  • Obtain missing documentation for miscellaneous payments as needed and resolve any discrepancies.
  • Process and reconcile manual credit card batches through Global and PayPal payments.
  • Reconcile electronic ACH batches through Global Payments.

2) Membership database maintenance

  • Verify and update rosters, contact, and profile information.
  • Identify duplicate individual and organization records; assist with running weekly/monthly reports to flag duplicate records and members with missing functional titles.
  • Make recommendations for improvement and enhancement of data entry processes.

3) Provide support to members

  • Reset login information.
  • Online navigation for registration, update membership roster, membership payment and other general inquiries.
  • Respond to inquiries through the conference and AR inbox in a timely manner.

Required Qualifications:

  • At least 2+ years of experience in data entry (can include internship experience); experience within a nonprofit environment is strongly preferred.
  • Working knowledge of database management principles.
  • Ability to work with diverse professionals on a variety of levels in a fast-paced environment.
  • Strong organizational skills; ability to prioritize tasks, take initiative, and work with minimum supervision.

Key Skills and Competencies:

  • Demonstrated ability to use Excel, Microsoft Office, and Adobe.
  • Strong customer service skills.
  • Excellent written and verbal communication skills.
  • Experience with IMIS EMS is a plus.
