What is an onboarding program manager?

An Onboarding Program Manager is responsible for designing, implementing, and overseeing the process that helps new employees integrate into an organization. They coordinate orientation sessions, develop training materials, and ensure that new hires have the resources and support they need to become productive team members quickly. Their role often involves collaborating with HR, department leaders, and IT to streamline onboarding processes and improve the overall new hire experience.

What are the key skills and qualifications needed to thrive as an onboarding program manager?

To thrive as an Onboarding Program Manager, you need expertise in employee onboarding processes, project management, and a background in HR or organizational development, often supported by a bachelor’s degree in a related field. Familiarity with HRIS platforms, onboarding software, and project management tools like Asana or Trello is highly beneficial. Exceptional communication, organizational skills, and a customer-focused mindset help build rapport with new hires and coordinate cross-functional teams. These skills ensure a seamless onboarding experience, driving employee engagement, retention, and overall organizational effectiveness.

How does an onboarding program manager typically collaborate with other departments to ensure a smooth new hire experience?

Onboarding Program Managers work closely with HR, IT, hiring managers, and sometimes department-specific trainers to coordinate all aspects of a new employee’s introduction to the company. They ensure that necessary equipment, access, and training are ready before the start date and facilitate communication between teams to address any unique onboarding needs. Regular meetings and feedback loops with these departments help refine the onboarding process, ensuring consistency and continuous improvement. This collaboration is essential for creating a positive, efficient, and engaging experience for new hires.

Qualia

Full-time

Job description

At Qualia, we've built the leading B2B real estate technology that transforms the home buying and selling experience into a simple, secure, and enjoyable process. Our SMB and Enterprise products bring together users from across the real estate ecosystem---homebuyers and sellers, lenders, title and escrow agents, and real estate agents---onto a single shared digital closing platform, providing greater clarity and transparency to real estate transactions. Today, through our business customers across the country, millions of consumers use Qualia to close on homes every year.
WHAT YOU'LL WORK ON
We are seeking an experienced Program Manager to lead our most significant, high-stakes enterprise client engagements. This role is designed for a "force multiplier"-someone who can navigate the complexities of large-scale onboarding and long-term relationship management while aggressively leveraging Artificial Intelligence to drive operational efficiency.
You will be the central orchestrator across the entire post-sales lifecycle, ensuring that Professional Services, Implementation, Support, and Product Development move in perfect synchronization. You are not just managing a timeline; you are building a scalable, AI-enhanced engine for enterprise success.
RESPONSIBILITIES
  • Strategic Command: Lead the end-to-end execution of our most complex enterprise programs, from initial kickoff through to long-term steady-state maturity
  • Cross-Functional Orchestration: Act as the primary bridge between Professional Services (delivery), Implementation (technical setup), Product (platform features and functionality) and Support (on-call stability)
  • Strategic Feedback Loop: Partner closely with Product Management (R&D) to ensure the product roadmap aligns with the long-term needs of our strategic accounts. (Note: Product Management owns the drafting of requirements; you own the strategic alignment and delivery timeline)
  • Executive Alignment: Drive high-level communication cadences with client executives and internal leadership, providing consistent, transparent, and data-backed reporting on program health
  • Process Automation: Proactively identify manual bottlenecks in the program lifecycle and deploy AI tools (e.g., LLMs for documentation, automated project trackers, or AI-driven meeting synthesis) to eliminate "administrative drag"
  • Predictive Insights: Utilize AI-integrated project management platforms to forecast risks, resource constraints, or potential delays before they impact the client experience
  • Operational Innovation: Stay at the forefront of the AI landscape, continuously introducing new tools and workflows that allow the program to scale without a linear increase in headcount
  • Relationship Building: Establish and maintain trust-based relationships with key program team members both internally and externally to best support varying individual needs and manage perceptions of program health
  • Issue Resolution: Maintain a thorough and up-to-date understanding of the full program so you are able to flag and address misalignments, driving thoughtful, tailored solutions in partnership with your program team
YOUR BACKGROUND THAT LIKELY MAKES YOU A MATCH
  • Experience: 5+ years of experience managing high-touch, multi-stakeholder enterprise programs. You have a track record of driving "long-term success" rather than just "project completion"
  • AI Literacy: You are an AI power-user. You have experience (or a high degree of proficiency) using AI agents, automation platforms (e.g., Zapier/Make), and LLMs to optimize your own workflow and team output
  • Matrix Leadership: Proven ability to influence and lead cross-functional teams (Product, Engineering, Support) that do not report directly to you
  • Communication: Exceptional ability to synthesize complex project statuses into clear, executive-ready insights
  • Industry Context: Experience in Real Estate, PropTech, or FinTech is a significant bonus but not required

While this role is based in Austin, Texas, we're open to exploring remote possibilities for qualified candidates. We have other physical office locations in San Francisco, California, and Concord, New Hampshire.
WHY QUALIA
Qualia is made up of incredibly bright, mission-driven coworkers who are passionate about using technology to solve real-world problems---and we're growing quickly. In order to continue building an engaging and dynamic organization, we're committed to giving everyone the support they need to do great work.
Our benefits package is designed to allow our team members to be their best selves, both in and out of the workplace. In addition to comprehensive health plans, a 401k program, and commuter benefits, we prioritize family and personal well-being through professional development, parental leave, and a flexible time off policy. Qualia offers a robust online onboarding program to train new hires, biweekly all hands meetings, and a variety of internal virtual events to keep employees connected.
We believe diverse perspectives and backgrounds are critical to building great technology, and our goal is to cultivate an environment where people feel equally valued and respected. Qualia is proud to be an equal-opportunity workplace, and we welcome applicants from all backgrounds regardless of race, color, ancestry, religion, gender identity or expression, sexual orientation, marital status, age, citizenship, socioeconomic status, disability, or veteran status.
