RESUMEN DE LA POSICIÓN:

El personal administrativo en entrenamiento realiza tareas administrativas para atender al paciente, responder consultas, proporcionar información y desempeñar funciones administrativas bajo la dirección de la administración de la clínica.

DEBERES Y RESPONSABILIDADES:

Las responsabilidades incluyen, pero no se limitan a:

  • Responder las llamadas entrantes de manera cortés y profesional, o canalizar las consultas a la persona correspondiente.
  • Recibir a los visitantes, determinar el motivo de su visita y dirigirlos al personal adecuado.
  • Mantener el área de trabajo y la sala de espera limpias y ordenadas.
  • Gestionar la programación de pacientes, el proceso de admisión y las citas de seguimiento.
  • Verificar en los sistemas la validez del seguro médico, así como la información demográfica y personal de los pacientes.
  • Garantizar la discreción y manejar asuntos confidenciales de acuerdo con las políticas y procedimientos establecidos.
  • Realizar diversas actividades administrativas, incluyendo el cumplimiento de funciones específicas asignadas.
  • Brindar apoyo administrativo general al equipo, incluyendo fotocopiado, envío de faxes, correspondencia y archivo de documentos.
  • Cumplir y adherirse a las políticas, procedimientos y lineamientos de la empresa.
  • Desempeñar otras funciones según se le asignen.

CALIFICACIONES:

  • Diploma de escuela secundaria o equivalente.
  • Al menos un (1) año de experiencia en un entorno administrativo u oficina. Se prefiere experiencia relacionada con la industria médica.
  • Excelentes habilidades de servicio al cliente, comunicación, documentación y manejo de programas informáticos.
  • Capacidad demostrada de organización, habilidades interpersonales, atención al detalle y gestión del tiempo.
  • Flexibilidad para trabajar fines de semana, noches y días festivos según lo requieran las operaciones del negocio.
  • Bilingüe (inglés/español) es una ventaja.

POSITION SUMMARY:

The Clerical on Training performs clerical tasks to service the patient, answer inquiries and provide information. Also, the Clerical on Training performs clerical duties under the direction of the clinic’s administration and handles clerical tasks to assist patients.

DUTIES & RESPONSIBILITIES:

Responsibilities include but are not limited to:

  • Answer incoming calls in a courteous and professional manner or referring inquires to the appropriate party.
  • Greet visitors, ascertains purpose of visit and direct them to appropriate staff.
  • Keep work area and lobby in neat and orderly manner.
  • Manage patient scheduling, intake, and follow-up appointments.
  • Verify the validity of medical insurance, demographic and personal data of patients in the systems.
  • Provide accurate, valid and complete information regarding the Company and the services provided.
  • Ensure discretion and handle confidential matters and in accordance with policies and procedures.
  • Perform a variety of clerical related activities including performance of specific assigned duties.
  • Oversee inventory levels, perform stock audits, and manage product ordering and replenishment.
  • Provide general administrative support to the team, including photocopying, faxing, mailing, and filing.
  • Take responsibility for managing own workload, ensuring assigned tasks are properly completed.
  • Recognize and respond appropriately to urgent/emergent situations per protocols.
  • Adhere and follow company policies, procedures and guidelines.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • High School Diploma or equivalent.
  • At least one (1) year experience in an office or clerical setting. Medical industry related experience preferred.
  • Outstanding customer service, communication, documentation and computer program skills.
  • Positive approach and enthusiasm.
  • Must exhibit strong organizational, interpersonal skills, attention to detail and time management.
  • Flexibility to work weekends, nights, and holidays as required by business operations.
  • Bilingual (English/Spanish) a plus.
