Job Description

The Veterinary Teaching Hospital at Colorado State University is looking for an Overnight Clinical Coordinator for our Equine & Livestock hospital. This role will be primarily after hours and weekends. In this role you will be the first point of contact for client's seeking CSU's Equine and Livestock Veterinary In-house and Ambulatory Services after hours. In this role you are responsible for ensuring smooth hospital operations for equine and livestock clients, providing excellent client service, and supporting veterinary teams in a fast-paced, high-stakes environment.

This position provides support for the general administrative operations of a given unit. Responsibilities include reception duties, scheduling, producing reports and correspondence, assisting in project management, performing data entry tasks, and supporting budgeting/fiscal activities. May assist with organizing meetings, travel and events.

We offer differential (7.5%-20% of your hourly rate) compensation which could be an additional $4,500-9,000/per year in addition to your salary. Shift differential rates are based on the shift days/hours you work:

• + 20 % of your hourly rate for hours worked 4 pm on Friday - 6 am on Monday (for example, if your hourly rate is $25/hour, you'd receive an additional $5/hour)
• + 14 % of your hourly rate for hours worked 11 pm - 6 am Monday-Thursday
• + 7.5 % of your hourly rate for hours worked 4 pm-11 pm Monday-Thursday

Essential Job Duties:

• Greet equine and livestock clients and check in patients arriving for after-hours emergency appointments. Responsible for answering phone calls coming to the equine and livestock direct lines, scheduling emergency visits in the EMR, paging/connecting clinicians, routing emergency calls appropriately.
• Maintain the online scheduling system in the EMR, verify client/patient information is correct in the EMR, provide information to clients on the emergency admittance process, and determine the urgency of a client's request.
• Responsible for collection of deposits when the emergency appointment is scheduled/arrives and account balances at the time the service is completed.
• Responsible for accurately scanning and uploading patient medical record documents into the EMR.
• Other duties as necessary. This position requires a proactive, solutions-oriented individual who thrives in a fast-paced, high-stakes clinical environment and values empathy, teamwork, and a commitment to continuous improvement. This person must be highly organized and be able to work individually.
  

Decision Making:

• When a client or rDVM calls after-hours and requests an appointment this position must first assess if this is an emergency or a routine appointment. They must then determine from talking with the client/rDVM if ambulatory is requested to come to the patient or if the patient is going to come into the hospital. Based on this determination they will connect the client with the correct on-call house officer or faculty. This position will then get the client and patient checked into the EMR on the correct service schedule.
• A client calls in after hours requesting a consult with a doctor. This position should determine if this is an emergency request or if this is a routine question. Emergency questions should be sent to the appropriate house officer or faculty. Routine questions should be emailed to the appropriate house officer or faculty to be followed up with the following business day.
• When a client calls in to schedule an emergency visit this position must be able to communicate clearly deposit requirements to the client. If the client is unable to provide a deposit they should follow the established protocol for next steps.

Minimum Qualifications:

• High School diploma or GED
• Two or more years of experience in customer service, including direct client interaction.
• Ability to work a full-time schedule onsite, including overnights, weekends, and holidays as needed.
• The successful candidate must be legally authorized to work in the United States by the proposed start date; the department will not provide visa sponsorship for this position.

Preferred Qualifications:

• Prior experience working with equine and/or livestock.
• Prior experience in human or veterinary related field providing client service including direct interaction with clients.
• Team-oriented and the ability to maintain positive working relationships with clinicians, coworkers, students, volunteers, and clients.
• Strong communication and problem-solving skills.
• Ability to work within a team and manage clinic logistics without supervision to include: Ability to set and change priorities and multi-task in a face paced, high- pressure environment while maintaining a positive attitude.
• Possess a strong level of attention to detail.
• Ability to handle frequent interruptions and adapt to changes in workload and work schedule.
• Ability to make timely decisions.
