POSITION OVERVIEW:
Reporting directly to the Chief Financial Officer, the Executive Assistant provides senior-level support to the CFO and Finance team, including the VP Finance and Treasurer, while working closely with Investor Relations and Financial Planning & Analysis. Aligned with RioCan's values and culture, the ideal candidate is creative, adaptable, and comfortable working in a dynamic environment. The role requires excellent attention to detail and organizational skills, sound judgment in a range of situations, the ability to balance multiple priorities, and a professional approach when engaging with senior internal and external stakeholders.
RESPONSIBILITIES:

Support ofย Businessย Critical Initiatives:

  • Partner with the CFO, seniorย executives,ย and team membersย to coordinateย the Strategic Planning and Annual Businessย Planย processes, including board presentationย preparation andย overallย project management.ย 

  • Serveย as a key member of the Investor Relations teamย by supportingย the annual IR calendar,ย monthly reporting, stakeholder relationship management, investor and analyst meetingย scheduling, and theย planningย and execution ofย investor events.ย 

  • Supportย theย CFOย inย systematically managing keyย external relationships, includingย board members, investment banks, lenders, analysts, investors, service providers,ย and partners.ย ย ย 

  • Apply a continuous improvement mindset and strong technology aptitude to enhance team processes, including through tools such as Copilotย (AI tool), SharePoint, OneDrive, OneNote, and Power BI. Prior experience with these tools is an asset, but notย required, as training will be provided.ย 

  • Coordinate the preparation of reports and presentations for meetings with executives, investors, and the Board.ย 

Administrative Activities:

  • Complex scheduling and calendar management for the CFO and other executives;ย 

  • Event and meeting management including planning internal and external events and offsites;ย 

  • Arrange travel for the CFO andย other executives and prepare expense reports;ย 

  • Manage sensitive matters withย a high levelย of confidentiality and discretion;ย 

  • Representย RioCanย and the office of the CFO in a positive light through excellent follow-through skills, attention to detail, prioritization, communication, and sound judgment;ย 

  • Other duties and responsibilities as assigned.ย 

QUALIFICATIONS:
  • Demonstrated five years of progressive administrative experienceย required; direct experience supporting a senior-level executive;
  • Proven success in a high-volume work environment with balancing and shifting priorities;
  • A Bachelor's Degree, college Diploma, or Certificate in Executive Office Administration is considered an asset;
  • Advanced proficiencyย in Outlook, MS Word, and PowerPoint;
  • Interest in and aptitude with new technologies;
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment;
  • Exceptional verbal & written communication skills with a strong business sense and ability to fact-check and proof documents;
  • Proven ability to work in a team environment;
  • Proactive, show initiative, and exercise good judgment;
  • A high sensitivity to the confidentiality of information;
  • Ability to think outside the boxย with a sense of urgency, decipherย prioritiesย and make sound judgment calls when needed.ย 
$88,000 - $108,000 a year
The base salary range for this role reflects compensation for candidates atย varying levels of experience and proficiency. The salary will be determined based on the successful candidate's relevant competencies, including skills, experience, education, and our teams' requirements.

The listed salary rangeย does not include bonus and other total rewards.ย This role is eligible for participation in the company's bonus program.
