Our Medical Clinic is part of a broader multi-disciplinary organization that brings together medical, therapeutic, and wellness services in a professional, supportive, and collaborative environment.

We are looking for an experienced, professional, and compassionate Medical Office Assistant (MOA) to join our growing Medical Clinic team. Role Description

This is a part-time, on-site Medical Office Assistant role supporting the day-to-day operations of our Medical Clinic. The MOA will work closely with Nurse Practitioners, patients, and the administrative team to provide an exceptional patient experience while ensuring the clinic operates efficiently and professionally.

Daily responsibilities will include patient reception and communication, appointment scheduling, registration, EMR management, processing referrals and documentation, coordinating patient follow-up, and supporting the clinical team with administrative tasks.

The successful candidate will work primarily within TELUS CHR, Netcare, and other healthcare systems and platforms as required. This role requires a high level of professionalism, discretion, accuracy, and attention to detail, particularly when handling confidential patient and health information.

Key Responsibilities


Patient Reception & Experience

  • Greet and assist patients in a professional, welcoming, and compassionate manner
  • Manage patient check-in and check-out processes
  • Answer phones, emails, and patient inquiries promptly and professionally
  • Schedule, reschedule, and confirm appointments
  • Maintain a high standard of patient communication and service
  • Address routine patient concerns and escalate appropriately when required

Medical Administration

  • Maintain accurate patient demographic and administrative information
  • Manage patient records and documentation within the EMR
  • Process referrals, requisitions, forms, and other medical documentation as required
  • Coordinate patient follow-up and communication
  • Assist with incoming and outgoing correspondence
  • Support administrative workflows for Nurse Practitioners and the Medical Clinic

EMR & Healthcare Systems

  • Work confidently and accurately within TELUS CHR
  • Use Netcare and other applicable healthcare systems and platforms
  • Maintain accurate and timely electronic records
  • Follow established procedures for documentation, information management, and system security
  • Learn and adapt to new technology and clinic systems as required

Clinic Operations

  • Support smooth day-to-day clinic operations
  • Monitor schedules and identify potential booking or workflow issues
  • Communicate effectively with practitioners and the administrative team
  • Maintain an organized, professional, and welcoming reception area
  • Follow established clinic policies, procedures, and SOPs
  • Assist with other administrative duties as required

Privacy & Confidentiality

  • Maintain strict confidentiality of all patient information
  • Follow River Stone privacy, confidentiality, and information-security policies
  • Handle personal health information appropriately and securely
  • Ensure patient information is only accessed, discussed, or disclosed in accordance with applicable policies and requirements

Position Requirements

The successful candidate will:

  • Hold a Medical Office Assistant (MOA) Diploma - required
  • Have previous experience working in a medical clinic, physician office, primary care, or similar healthcare environment
  • Have strong knowledge of medical office procedures and workflows
  • Have excellent communication and interpersonal skills
  • Provide professional, compassionate, and patient-focused service
  • Be responsible, reliable, organized, and committed to a strong work ethic
  • Have exceptional attention to detail and accuracy
  • Be comfortable working with confidential and sensitive health information
  • Be able to manage multiple priorities in a fast-paced environment
  • Be comfortable working independently while contributing to a collaborative team
  • Be comfortable supporting routine clinical intake, obtaining vital signs, assisting with patient triage processes, and acting as a chaperone when require
  • Have strong computer and administrative skills
  • Experience with TELUS CHR - an asset
  • Experience with Netcare - an asset
  • Experience supporting Nurse Practitioners or primary care providers - an asset
  • Experience with referrals, requisitions, medical forms, and other healthcare documentation - an asset
  • Experience in a multi-disciplinary healthcare environment - an asset
  • Be available to work evenings and/or weekends as required - an asset

Clinical & Patient Care Support

  • Obtain and accurately document patient vital signs and other routine clinical measurements as directed by the Nurse Practitioner or established clinic protocols
  • Support established patient triage and clinical intake processes, gathering and documenting relevant information and escalating concerns to the appropriate Nurse Practitioner or clinical team member
  • Assist Nurse Practitioners with patient flow and clinical room preparation as required
  • Act as a chaperone during patient examinations or procedures when requested by the patient, Nurse Practitioner, or in accordance with clinic policy
  • Maintain professionalism, patient dignity, privacy, and confidentiality during all clinical interactions
  • Follow established clinic protocols and direction from the Nurse Practitioner regarding clinical support activities
