What is an office move?

An office move refers to the process of relocating a business’s office from one location to another. This can involve moving furniture, equipment, documents, and technology, as well as coordinating logistics to minimize downtime and disruption. Office moves often require detailed planning, professional movers, and communication with employees to ensure a smooth transition. Companies may also need to update their address with clients and service providers, and set up new infrastructure at the new site.

What are some typical challenges faced during an office move, and how can they be managed in this role?

One of the most common challenges in managing an office move is coordinating logistics to minimize downtime and ensure all departments are aligned. This role often requires detailed planning, clear communication with vendors and employees, and the ability to adapt quickly if unexpected issues arise, such as equipment delays or space constraints. Successful office move coordinators often create comprehensive timelines, maintain thorough inventories, and hold regular check-ins with stakeholders to proactively address concerns. Working collaboratively with IT, facilities management, and department leads helps ensure a smooth transition and efficient problem-solving throughout the process.

What are the key skills and qualifications needed to thrive as an office move coordinator, and why are they important?

To thrive as an Office Move Coordinator, you need strong organizational skills, project management experience, and knowledge of logistics or facilities management. Familiarity with project management software, space planning tools, and possibly OSHA safety guidelines is important. Excellent communication, problem-solving abilities, and attention to detail help coordinate teams and manage disruptions. These skills ensure the move is efficient, minimizes downtime, and maintains workplace safety.

Job description

Office Manager

Ellipsis Labs is a profitable, venture-backed New York-based startup building sustainable and efficient DeFi protocols on high-throughput decentralized infrastructure. Our long-term goal is to build a better financial system.

Our flagship product, Phoenix Perpetuals, brings professional-grade perpetual futures to Solana. Building on our experience developing efficient markets, Ellipsis Labs also operates SolFi, a proprietary automated market maker that provides efficient liquidity for key trading pairs. Our foundational product, Phoenix Legacy, is a limit order book on the Solana blockchain that established our expertise in operating high-performance markets. Combined, these products have facilitated over $285B in trading volume across Solana markets.

This role will begin as a contract position, with the opportunity to convert to a full time role based on mutual fit.

Ellipsis Labs is seeking an Office Manager to join our team. You'll be the heartbeat of our office, including keeping the space running like clockwork, protecting our cofounders' schedules, making sure the team is well-fed, helping with recruiting coordination and ensuring every candidate and guest feels welcome from the moment they walk through the door. In this role, you will:

Office Management

  • Own the day-to-day operations that keep the office running well, including developing a strong sense of what the space needs before it becomes a problem
  • Manage inventory, including laptop procurement and coordinating repairs or replacements when equipment breaks
  • Own reception and the guest experience
  • Own all things food for the team, including daily lunch and dinner, and keeping snacks and drinks stocked
  • Support company events end-to-end
  • Support the logistics and administrative work of an upcoming office move

Executive Assistant

  • Own and protect our cofounders' calendars with precision
  • Schedule business dinners
  • Handle one-off requests as they come up

Recruiting Coordination

  • Own interview scheduling and on-site coordination
  • Manage take-home assessment logistics
  • Keep our recruiting systems clean and up to date
  • Coordinate onboarding and offboarding for new hires and departing employees

Qualifications

  • Strong organizational skills, including comfort managing recurring checklists and processes
  • A demonstrated track record of following through and executing reliably
  • Excellent written and verbal communication
  • High discretion and sound judgment, particularly around confidential calendar and business information
  • Willingness to do hands-on work as needed, including restocking, setup, and other physical tasks are part of the job
  • Project and vendor management skills, with a natural ability to set clear expectations with vendors and hold them accountable
  • Comfortable working in-person, in a fast-paced startup environment where priorities shift day to day
