Job description

The Administrative Assistant provides day-to-day administrative, clerical, and basic technical support to help the office operate efficiently. This role supports managers and team members by handling correspondence, document preparation, general office coordination, and serving as a first point of contact for routine technology and system support needs.


Summary

โ€ข Maintain accurate filing systems for both digital and paper records.

โ€ข Assist with data entry, record updates, and routine administrative tasks.

Provide basic first-level technical and help desk support to employees and coordinate more complex issues with the appropriate IT resource or vendor.

โ€ข Be able to lift 10 to 20 lbs.

โ€ข Prepare files for offsite filing.

โ€ข Request files/documents from offsite custodial.

โ€ข Provide general support to staff and assist with projects in other departments.


Key Responsibilities

โ€ข Prepare, format, and distribute letters, reports, and other documents.

โ€ข Maintain accurate filing systems for both digital and paper records.

โ€ข Maintain the files and scanning baskets.

โ€ข Monitor general office and kitchen supplies for ordering.

โ€ข Assist with data entry, record updates, and routine administrative tasks.

โ€ข Maintain daily upkeep of kitchen by emptying dishwasher, wiping down tables and microwaves and replenishing supplies.

โ€ข Handle daily outgoing mail.

โ€ข Backup for opening/distributing incoming mail and scanning checks for accounting.

โ€ข Assist with pulling documents for audits.

โ€ข Backup for Senior Administration Assistant- (setting up LiveVox, submitting letters through vendor, pulling credit, etc.).

โ€ข Holiday decorating of kitchen and assist with setting up and cleaning of events.

โ€ข Retrieve files/decorations i.e., in the building basement.


Basic IT / Help Desk Support

  • Serve as a first point of contact for routine employee technology questions and basic troubleshooting.
  • Assist employees with basic workstation and system issues, including restarting or rebooting computers, applications, phones, and other office equipment.
  • Assist with basic troubleshooting of common hardware, software, printer, connectivity, and login/access issues.
  • Receive, document, and submit IT support tickets and follow up on open requests as needed.
  • Help gather information regarding technical issues to assist IT personnel or third-party vendors with troubleshooting.
  • Assist with basic workstation, equipment, and user setup for new hires or existing employees, as directed.
  • Escalate technical issues that cannot be resolved through basic troubleshooting to the appropriate IT resource or vendor.
  • Maintain basic records of IT requests, equipment, or recurring technical issues as needed.
  • Perform other routine technology support tasks as assigned within the scope of the position.



Qualifications and Skills

  • High school diploma or equivalent required; associate degree preferred.
  • Previous experience in an administrative, clerical, office support, or basic help desk/technical support role preferred.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • General comfort with computers, office technology, and learning new software and systems.
  • Ability to perform basic troubleshooting and follow established technical support procedures.
  • Ability to communicate technical issues clearly to employees, IT personnel, and third-party vendors.
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple tasks, meet deadlines, and maintain confidentiality.
