Job Description:

The Transportation Outbound Operations Admin role at Ocean State Job Lot (“OSJL” and “Company”) is primarily responsible for supporting outbound dispatch and drivers, maintaining essential administrative logs, and ensuring the accurate and timely flow of outbound transportation documents. This role maintains critical communication with drivers, inbound team, receiving team, dispatchers, team leads, operations manager, and third-party carriers.

Key Responsibilities:

Driver Support & Dispatch

  • Maintain regular and effective communication with the driver fleet, Distribution Center (“DC”) Operations, Inbound Logistics, and external carriers/vendors, ensuring timely and accurate information flow regarding shipment status and schedules.
  • Assist drivers at the window with efficient driver paperwork check-in using the Driver Debrief Checklist.
  • Generate driver trip sheets for drivers and ensure organization and digital archiving of trip sheets and Bills of Lading (“BOL”).
  • Coordinate third-party carrier assignments, providing required documentation (i.e., BOLs) and communicating next-day assignments.
  • Distribute the next-day dispatch schedule to the internal driver fleet and all necessary retail store recipients.
  • Utilize extensive telephone contact with vendors, off-site carriers, and drivers to resolve issues and ensure accurate and timely processing of freight.

Daily Administrative Updates

  • Update critical operational reports, including the daily Pallet Backlog Report and the Shipment Cancellation Log.
  • Update and validate the information on the preload list daily, including adding the preloaded trailers provided by the Shipping team and confirming delivery of preload trailers. 
  • Monitor, verify, and execute system updates for all daily schedule and trip changes within the designated dispatch and Transportation Management Systems (e.g., Data Base Runs (“DB Runs” and Manhattan Transportation Management System (“MATM”)).
  • Maintain core transportation databases, focusing specifically on accurate fleet trip history and driver records.

Planning & Execution

  • Check for communication on trip changes for the daily plan and update the dispatch systems (i.e., DB Runs and MATM.)
  • Communicate with the inbound team for proper flow of information on the execution of picking up inbound freight and the pick-up and returns of containers based on Last Free Day deadlines.
  • Maintain regular and effective communication with DC Operations, retail stores, and Transportation leadership
  • Schedule and track/trace inbound, delivery, and import container freight.
  • Accurately and efficiently coordinate inbound freight, including tendering, tracking, and managing vendor ready-to-ship work and appointments.

Logistics Planning & Coordination

  • Manage inbound freight scheduling and coordination, including tendering, tracking, and managing vendor ready-to-ship documentation and delivery appointments.
  • Execute detailed track/trace procedures for all inbound, delivery, and import container freight movements, providing status updates to key stakeholders.
  • Coordinate container logistics with the Inbound team, managing the pick-up, drop-off, and return of containers/equipment to mitigate costly demurrage and detention charges by strictly adhering to Last Free Day deadlines.

Qualifications:

  • A high school diploma or equivalent is required; an Associate's degree in a related field is preferred.
  • 1 or more years of experience in transportation, logistics, routing, or scheduling is preferred.
  • Bilingual (English/Spanish) is preferred.
  • Proficient in Microsoft Office and Google platform (i.e., Sites, Slides, Drive, Docs, Sheets).

Work Environment:

  • Works primarily in a climate controlled environment with minimal safety and health hazard
    potential. 
  • Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.
