About the Role
We're looking for a proactive, organized Office Coordinator to keep our office running smoothly day to day. This is a full-time, in-office role covering everything from stocking snacks and drinks to managing lunch catering, keeping shared spaces organized, coordinating with vendors, helping plan internal events, handling mail, and monitoring office access. The ideal candidate has event planning experience, a strong sense of ownership, and enjoys creating a great in-office experience for the team.
Responsibilities
  • Keep the office fully stocked with snacks, drinks, and pantry supplies, tracking inventory and reordering as needed
  • Coordinate and manage daily catered lunches by placing orders, scheduling deliveries, communicating with restaurants and catering vendors, and ensuring timely setup and cleanup
  • Maintain a clean, organized, and well-stocked office, including supply closets, kitchen, and common areas
  • Build and manage relationships with external vendors (catering, supplies, maintenance, and other service providers)
  • Help plan and coordinate internal events, from team happy hours to larger company-wide gatherings
  • Distribute incoming mail and packages, and prepare outgoing mail and shipments
  • Monitor office doors and entry, greeting visitors and ensuring a safe, secure workplace
  • Serve as a go-to point of contact for general office needs and requests
  • Other tasks as needed

Qualifications
  • 1+ years of experience in office administration, coordination, or event planning
  • Demonstrated experience planning or coordinating events, from small team gatherings to larger functions
  • Highly organized, with strong attention to detail and the ability to juggle multiple ongoing tasks
  • A genuine customer-service mindset - you treat fellow employees like customers and take pride in a job well done
  • Reliable and punctual, with strong follow-through
  • A really positive, can-do attitude
  • Strong communication skills, both written and verbal, and comfort working directly with vendors
  • Ability to be on your feet for multiple hours a day and to lift and move boxes and packages
  • Ability to be on-site full-time, in office
