Overview
The Executive Assistant provides high-level administrative and operational support to the Executive Vice President, Chief Operating Officer (COO), and Chief Nursing Executive (CNE). This role is critical to ensuring seamless execution of executive priorities, efficient daily operations, and effective communication across the organization.
As a trusted partner, the Executive Assistant manages complex scheduling, coordinates executive-level meetings, and supports preparation of materials and communications that advance strategic priorities within nursing and inpatient operations.
Responsibilities
  • Manage and prioritize a complex executive calendar, aligning meetings with organizational priorities
  • Coordinate travel, logistics, and daily scheduling needs
  • Anticipate and resolve scheduling conflicts proactively
  • Coordinate executive meetings including agendas, materials, and logistics
  • Prepare briefing materials and talking points in collaboration with leadership
  • Document key decisions and track action items to completion
  • Support planning and execution of leadership meetings and events (e.g., town halls)
  • Draft and edit correspondence, presentations, and reports on behalf of the COO/CNE
  • Serve as a central communication point for internal and external stakeholders
  • Maintain strict confidentiality in all executive matters
  • Support day-to-day operations of the Office of the COO/CNE
  • Coordinate activities across clinical, operational, and administrative leaders
  • Track key deliverables and support follow-through on priorities
  • Maintain organized systems for executive materials and communications
  • Identify opportunities to improve efficiency and streamline workflows
  • Support consistent processes across executive operations

Qualifications
  • Bachelor's degree or equivalent experience (business, healthcare, or related field)
  • 3-5 years of experience supporting senior-level executives
  • Strong organizational, time management, and prioritization skills
  • Excellent written and verbal communication skills
  • Ability to manage confidential information with discretion
    • Preferred Qualifications
    • Experience supporting healthcare or hospital executive leadership
    • Experience coordinating executive meetings and strategic initiatives
    • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel)

Starting Pay
Our pay ranges are market competitive. The pay range for this job begins at $31.02/hr, but your offer will be determined based on your education and experience.
