Position Summary

We are seeking a highly organized and responsive Scheduler / Staffing Coordinator to join our team in a fast-paced, team-oriented environment. This part-time position is based in our Merrillville office with a hybrid schedule, including in-office days on Monday, Wednesday, and Friday, and remote on-call coverage from Friday evening through Monday morning.

In this role, you will play a critical part in coordinating caregiver schedules, responding to real-time staffing needs, and ensuring our clients receive consistent, high-quality care. You will collaborate closely with caregivers, clients, and internal team members to maintain accurate schedules, fill open shifts, and address urgent staffing needs as they arise.

This position is ideal for someone who thrives in a dynamic environment, enjoys problem-solving, and excels at communication, organization, and multitasking.


Key ResponsibilitiesScheduling & Staffing Coordination
  • Create and maintain caregiver schedules for client shifts

  • Ensure all client visits are properly staffed

  • Respond quickly to call-offs and schedule changes

  • Coordinate shift coverage and adjust schedules in real time

  • Communicate schedule updates with caregivers and office staff

  • Provide on-call coverage from Friday evening through Monday morning, responding to urgent staffing needs and ensuring all shifts are covered during non-office hours
Caregiver Communication
  • Serve as a primary point of contact for caregivers regarding schedules

  • Assist caregivers with schedule questions and updates

  • Help support caregiver accountability and reliability

Client Service Support
  • Communicate with clients regarding schedule updates when needed

  • Ensure continuity of care and consistent service delivery

  • Support the team in maintaining a high level of client satisfaction

Office Coordination
  • Maintain accurate scheduling documentation and records

  • Track open shifts and ensure timely coverage

  • Support general office operations and team communication


Qualifications
  • Prior experience with on-call, after-hours support, or staffing/scheduling in a home care or service-based environment preferred
  • Strong sense of accountability and reliability, especially during non-business hours
  • Strong organizational and problem-solving skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Excellent communication skills with caregivers and clients

  • Strong attention to detail and follow-through

  • Must be available and willing to provide on-call coverage from Friday evening through Monday morning on a consistent, weekly basis
  • Ability to respond promptly to calls, texts, and scheduling alerts during on-call hours, including nights and weekends
  • Must have reliable access to a phone, computer, internet, and scheduling systems while on call
  • Valid driver’s license and reliable transportation


Compensation & Benefits
  • $20 – $25 per hour, based on experience
