Overview

Under the direction of the Associate Director of Faculty and Administrative Affairs, the Manager of Faculty and Administrative Affairs serves as a strategic partner to the departments of Obstetrics, Gynecology and Reproductive Sciences (OBGYN) and Urology. This position is responsible for delivering high quality and thoughtful guidance on matters related to faculty, staff, students and scholars to support the advancement of the overall missions of both departments. The Manager works collaboratively with departmental chairs, faculty leaders and YSM leaders to manage and execute faculty appointments and promotions, faculty recruitment, and faculty credentialing. This role is also responsible for the oversight of all faculty and staff related matters including but not limited to onboarding, offboarding, visas, and other lifecycle processes.

The Manager is responsible for the guidance and supervision of a team of support staff in the faculty and staff affairs office. This position is part of the Emergency Medicine, OBGYN, Ophthalmology and Urology Integrated Business Office (IBO).

The Manager will regularly partner with IBO business office staff and division administrators within OBGYN and Urology, and will work closely with other departments including but not limited to Yale Medicine, Yale New Haven Hospital, the Office of Academic and Professional Development, Central Human Resources, the Office of Postdoctoral Affairs and the Office of International Students and Scholars.

This position is Hybrid 3days/week onsite is required.

Required Skills and Abilities
  • 1. Demonstrated experience in faculty affairs or human resources in an academic or healthcare setting. Proven experience with faculty recruitment, appointments, reappointments, credentialing, faculty advertisements, and other faculty affairs related processes, activities and systems.
  • 2. Proven interpersonal skills with developing strong relationships with faculty, leaders, staff and/or other stakeholders. Strong written and verbal communication skills and demonstrated ability to influence others.
  • 3. Demonstrated ability to independently and proactively handle complex issues in a timely manner with sound judgment and attention to detail.
  • 4. Proven skills in decision making, organizing, planning, problem-solving and conflict management. Demonstrated ability to prioritize and multitask in a fast-paced environment.
  • 5. Advanced computer skills, including proficiency with Microsoft Word, Excel, PowerPoint and Outlook, and the ability to learn new systems quickly.
Preferred Skills and Abilities
  • 1. Proven experience managing and developing a team.
  • 2. Demonstrated experience with Workday, Interfolio and Salesforce.
Principal Responsibilities
  • 1. Reviews and determines staffing needs, job posting requirements, salary guidelines, and labor agreement interpretations for exempt and non-exempt staff in one or more functional department of the University.
  • 2. Manages the administrative support needs for exempt and nonexempt staff and provides recommendations, improvements, solutions and assistance as needed.
  • 3. Manages and monitors technology needs, conducts inventory, and system requirements for the assigned departments.
  • 4. Develops and prepares budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance reports for the departments.
  • 5. Manages the use of facilities in one or more departments including office space, work stations, equipment, and office supplies.
  • 6. Manages administrative support for activities of one or more departments to ensure timely completion of projects.
  • 7. Manages and coordinates training sessions for assigned departments when new policies or practices are adopted.
  • 8. Ensures compliance with University and federal regulations as they apply to the assigned departments.
  • 9. Identifies, plans, and develops administrative policies for the assigned departments.
  • 10. Assists in reviewing and implements University and departmental policies as they pertain to the administrative functions of the assigned department.
  • 11. Assesses and makes recommendations regarding staff development and staffing levels.
  • 12. Monitors, develops, plans, and executes systematic research on user requirements through such mechanisms as surveys, interviews, focus groups and competitive analysis.
  • 13. Manages a staff of exempt and non-exempt employees.
  • 14. May perform other duties as assigned.
