Quality Assurance Regulatory and Compliance Officer

Supervisor’s Title: Quality Assurance (QA) Manager

Reports to: QA Manager

Department: Quality Assurance

Exempt Status: Non-Exempt Status

Work Schedule: Monday – Friday, on call as needed.


Job Summary
The Regulatory and Compliance Office at our dairy facility ensures that the organization adheres to all relevant industry regulations, standards, and compliance requirements. This role will focus primarily on managing regulatory documentation, document control, and supporting our valued customers. The position will also involve managing export documentation and facilitating smooth communication between internal teams and external stakeholders to maintain the facility’s regulatory standing. 

Essential Functions

Responsibilities include but are not limited to


  • Key Responsibilities:
    • Maintain quality systems in compliance with applicable regulations (e.g., FDA, USDA, ISO, GMP, FSMA, HACCP).
    • Monitor and interpret regulatory requirements and ensure the organization remains compliant with evolving regulations.
    • Prepare and manage regulatory submissions and documentation. 
    • Conduct regular audits and inspections of processes, documentation, and products to ensure adherence to compliance standards.
    • Prepare detailed compliance reports and present findings to the QA Manager and regulatory body as required.
    • Stay current with changes in relevant laws, regulations, and industry standards to update compliance policies accordingly. 
  • Customer Support:
    • Respond promptly and professionally to customer inquiries via email, phone, and/or chat.
    • Assist customers with product-related questions, technical issues, and troubleshooting.
    • Provide step-by-step guidance and clear instructions to help customers resolve problems effectively.
    • Maintain a high level of customer satisfaction through timely and empathetic communication.
    • Maintain accurate records of customer interactions, transactions, and feedback.
    • Resolve customer issues promptly and professionally, ensuring customer satisfaction.
  • Quality Assurance:
    • Responsible for maintaining the document control program. 
      • Establish and maintain records retention timelines.
      • Ensure document storage complies with laws and regulations.
      • Responsible for making sure documents are audit-ready and the ability to retrieve documents as needed for audit.
    • Maintain and process needed documentation for export purposes.
    • Maintain and process the documentation needed for the company’s licenses. 
  • Product Knowledge:
    • Develop a deep understanding of Panhandle Products’ features, products, and functionality.
    • Stay updated on product changes, enhancements, and updates to provide accurate support.
    • Contribute insights and feedback to production based on customer interactions.
  • Training and Development:
    • Create and maintain support documentation, FAQs, and troubleshooting guides for internal and external use. 
  • Customer Feedback and Insights:
    • Gather and analyze customer feedback and complaints to identify trends, pain points, and areas for improvement.
    • Share actionable insights with relevant teams to drive production enhancements and customer satisfaction.
  • Other Essential Duties:
    • Promotes and adheres to all policies and procedures relating to Good Manufacturing Practices (GMP’s), food safety, and regulatory compliance.
  • Complies with all applicable food safety regulations and mandates (Safe Quality Foods, Food and Drug Administration, Pasteurized Milk Ordinance).
  • Complies with all company food safety policies and procedures (including Good Manufacturing Practices).
  • Responsible for providing food safety and quality feedback to the appropriate manager.
  • Perform other duties as assigned.


Qualifications
  • B.S. degree in Food Science, Chemistry, Animal Science, Dairy or related majors.
  • Strong communication skills, both written and verbal.
  • Must have up-to-date knowledge of FMSA, GFSI Standards, and a concrete understanding of food processing, microbiology, sanitation, HACCP, GMP, and environmental monitoring.
  • The Food Safety Manager should have technical knowledge of COP and CIP, cleaning and sanitizing chemicals, sanitary design of food processing equipment, and internal auditing of off-processing equipment and internal auditing of food manufacturing facilities.
  • 5-10 years of food production, management, and auditing experience.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication.
  • Excellent analytical and problem-solving skills.
  • Punctual and regular attendance is required.
  • English skills must be proficient to understand, read, write, and speak.
  • Complies with all safety policies, practices, and procedures. Reports all unsafe activity to manager and/or Human Resources.


Physical Requirements and Environmental Conditions

 

Physical Requirements:

  • Physical effort is regularly required.
  • May be trained and required to operate a forklift.
  • Ascending or descending ramps, stairs, ladders, and/or scaffolding.
  • Frequently involves crouching, stooping, kneeling, and/or climbing or balancing.
  • Frequently involves lifting more than 50 lbs.


Typical Environmental Conditions:

  • Works in a food processing manufacturing facility with moderate noise.
  • May be exposed to moderate to high noise levels (i/e., production equipment, forklifts, heavy traffic).
  • May be exposed to humidity, intense heat and cold, outdoor weather conditions, fumes, and toxic chemicals.
  • May work in areas with mechanical moving parts, above ground with risk of failing, or areas with risk of electrical shock. May be exposed to ingredients that may cause allergic reactions and may be exposed to various allergen ingredients.
