About the Role

Are you an empathetic, highly organized professional who excels at client relations and project coordination?

Our growing boutique estate planning law firm is seeking a Client Care & Signing Coordinator to manage the critical client-facing stage of our estate planning process. In this role, you will be the face of our firm during the final stretch of the client journey—guiding clients through document draft reviews, facilitating in-person signing ceremonies, and assisting with post-signing asset funding logistics.

You will work closely with our lead attorneys and paralegal team to ensure every client experiences a warm, smooth, and flawless execution of their estate plan.


Key Responsibilities

  • Facilitate Signing Ceremonies: Host in-person final signing meetings; conduct page-by-page plan summary walkthroughs with clients, field basic administrative questions, serve as a Notary Public, and manage witnesses.
  • Client Touchpoint Management: Serve as the main point of contact for clients during their 30-day drafting window, keeping them informed of progress and ensuring all pre-signing requirements are met on time.
  • Document Audit & Assembly: Review final document packages for execution readiness, print and assemble physical estate planning binders, and prepare digital execution copies.
  • Asset & Trust Funding Support: Guide clients through post-signing execution steps, including beneficiary designation updates, bank account retitling instructions, and recording deeds.
  • Pipeline Tracking: Update client statuses, schedule signing meetings, and manage client communications.

Qualifications & Requirements

  • Experience: 2+ years of experience in a client-facing role within professional services (legal, wealth management, financial planning, or real estate preferred).
  • Notary Public: Active Commissioned Notary Public (or willing to obtain commission within 30 days of hire).
  • Communication: Exceptional interpersonal skills, warmth, and an ability to explain administrative concepts clearly and calmly to families.
  • Technical Skills: Proficiency with CRMs and standard office technology.
  • Detail Orientation: High level of accuracy when managing signatures, notarizations, and document assembly.
