Job description

Overview

We are seeking a dedicated and detail-oriented individual to join our team as a Cardiac Rehab Office Coordinator. The primary focus of this role is to oversee the daily operations related to patient scheduling, registration, and insurance verification. The ideal candidate will provide financial counseling to patients, facilitate smooth transitions between different levels of care, and ensure accurate billing procedures in collaboration with various departments.

Responsibilities
  • Responsible for daily operations of patient scheduling, registration, verification of insurance benefits and authorization and prior approval for services. Provides patient financial counseling and resources for assistance. Collaborates with referring physicians and referral sources to insure a smooth transition for patients from one level (inpatient, home health, clinic) of care to another. Works directly with the hospital billing department, accounts payable and the FirstHealth center for Health and Fitness billing department to insure correct billing procedures are in place.
  • Provides daily planning and maintenance of Cardiac rehab referral sources, both internally via EPIC and externally as the first point of contact and following FirstHealth and departmental policies and procedures. Calls potential patients, schedules appointments, and completes all insurance verifications.
  • Daily maintenance of Cardiac Rehab work queues to satisfy errors and verifications. Regularly reviews in-basket messages from Cardiac Rehab team and follows up with patient in a timely manner.
  • Performs EPIC registration processes by following FirstHealth's policies and procedures.
  • Scans medical records and/or other necessary documents into the EPIC system. Performs daily departmental charges in EPIC and works closely with other Cardiac Rehab disciplines to ensure accuracy of visit types, patient status, and provider within the EPIC system.
  • Implements and monitors effective reimbursement diagnosis, procedure codes etc (CMS, Medicare advantage plans and communicates with patient, providers).
  • Collaborates as resource for staff in development of projects and workflow improvement as directed by director. 
Qualifications
  • Associate Degree in a healthcare-related field, medical coding, or three years of experience in medical office management with advanced skills in office technology.

  • Proficient in Microsoft Office, spreadsheets, tables, setting up queries, and generating reports.

  • Knowledge of medical terminology and ICD-10 coding required.

  • BCLS certification required.

  • Significant experience may be accepted in lieu of education or formal training.
