Job Summary

We are seeking an organized, proactive, and welcoming Office Coordinator to join our team. In this role, you will be the heartbeat of our daily operations. You will touch every part of our organization. Your daily responsibilities will include attracting and onboarding new talent, managing schedules for clients and therapists, and handling essential administrative tasks.

Key Responsibilities

Onboarding & Team Support

  • Talent & Onboarding: Assist in attracting new talent, managing accurate records, and leading the onboarding process for new staff to ensure a seamless welcome.
  • Human Resources Support: Maintain employment records, ensure that required certifications are up to date, facilitate annual reviews and coaching opportunities, and properly record employee requests (Vacation, Sick Time, Benefits, etc) .
  • Administrative Support: Assist the leadership and clinical teams with a variety of administrative tasks and special projects as needed.

Scheduling & Communication

  • Master Scheduler: Efficiently coordinate and manage both client and staff schedules to ensure smooth, daily operations.
  • Front Desk & Communication: Answer incoming phone calls with a warm, professional demeanor. Act as the primary gatekeeper by directing calls to the appropriate clinical or administrative team member.

Office & Facilities Management

  • Supply Management: Keep the office fully stocked, organized, and functional by managing office supplies and inventory.
  • Facilities Liaison: Handle building maintenance requests and ensure the office environment remains safe, clean, and professional.
  • Community Outreach: Represent our organization and support community outreach initiatives to help grow our local presence.

Qualifications & Skills

  • Experience: 1–3 years of experience in an administrative, office coordinator, or receptionist role (experience in a clinic or healthcare setting is a plus, but not required).
  • Organization: Exceptional organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment.
  • Communication: Strong verbal and written communication skills; ability to interact professionally with clients, staff, and external partners.
  • Tech-Savvy: Proficiency with office software (e.g., MS Office, Google Workspace) and scheduling platforms.
  • Problem-Solver: A proactive mindset with a knack for anticipating needs and solving minor office issues independently.

Schedule

  • Monday to Friday, 8:00 AM - 4:00 PM
