CLIENT EXPERIENCE COORDINATOR: The DRIPBaR Kelowna

Join the founding team at The DRIPBaR Kelowna, Canada's newest IV vitamin therapy clinic. As our Client Experience Coordinator, you'll be the first impression of our clinic and the person who helps every client feel welcomed, cared for, and confident from the moment they arrive.

This is far more than an administrative role. You'll create an exceptional client experience, keep the clinic running seamlessly behind the scenes, support our medical and nursing team, and help bring our wellness mission to life within the community. WHAT YOU'LL DO

Create an Exceptional Client Experience

You'll set the tone for every client visit by creating a warm, welcoming, and professional environment from the moment someone reaches out to us.

You'll:

  • Welcome clients in person, by phone, and by email with professionalism and genuine warmth
  • Schedule appointments and manage the daily clinic flow to ensure an organized, seamless experience
  • Maintain accurate client records and administrative systems
  • Build strong relationships with clients, vendors, and service partners while representing The DRIPBaR Kelowna brand with professionalism

Keep the Clinic Running Smoothly

Behind every exceptional client experience is someone who keeps the details moving.

You'll:

  • Monitor inventory and proactively order supplies before they're needed
  • Coordinate incoming and outgoing deliveries and clinic logistics
  • Prepare reports and administrative documentation for leadership
  • Assist with special projects, clinic initiatives, and events

Support the Clinical Team

Working alongside our Registered Nurses, you'll help create a calm, efficient environment that allows our clinical team to focus on delivering outstanding care.

You'll:

  • Assist with client intake, completion of health history forms, and non-clinical wellness screening
  • Help prepare treatment areas between appointments
  • Facilitate ancillary service experiences for clients (red light therapy, infrared sauna, halotherapy, compression, etc)
  • Provide clients with information about IV therapies, wellness services, supplements, and membership options, answering general questions and referring clinical questions to the nursing team when appropriate.

Help Grow Our Community

We're building more than a clinic — we're building a wellness community.

You'll:

  • Support our social media presence by capturing authentic moments and sharing the client experience
  • Encourage client reviews and testimonials
  • Assist with local partnerships, community events, and wellness initiatives
  • Help introduce new clients to The DRIPBaR and everything we offer

WHAT YOU BRING

To succeed in this role, you'll bring a combination of exceptional client service, strong organizational skills, and a genuine interest in health and wellness:

  • A minimum of 2 years of experience in a client-facing role such as medical reception, healthcare administration, hospitality, luxury retail, wellness, or a professional services environment
  • Previous experience coordinating and facilitating client processes, managing multiple priorities, and delivering exceptional customer experiences
  • Excellent verbal and written communication skills, with a professional, confident, and compassionate approach
  • Strong computer proficiency, including experience with POS systems, Microsoft Office, Google Workspace, and other cloud-based scheduling and practice management software
  • Exceptional organizational skills with the ability to prioritize competing demands while maintaining a high level of accuracy
  • The ability to work independently, exercise sound judgment, and proactively solve problems in a fast-paced environment
  • Genuinely interested in integrative, preventative, and consciousness-forward approaches to wellness
  • Availability to work some evening and/or weekend hours, with flexibility for occasional shift changes on short notice
  • Physical ability to sit, stand, walk, and use hands/arms throughout a shift; occasional lifting to 35-50 lbs


Preferred Qualifications

  • Post-secondary education or certification in business administration, healthcare administration, hospitality, communications, marketing, or a related field
  • Experience working in a healthcare environment, including an integrative health practice, medical spa, wellness clinic, fitness clinic, physiotherapy, chiropractic, naturopathic, dental, or other healthcare environment
  • Alternatively, experience in premium hospitality, boutique fitness, luxury retail, or hotel concierge
  • Previous experience supporting social media, community outreach, and other client engagement initiatives
  • Current Standard First Aid and CPR certification (or willingness to obtain upon hire)
