The Purchasing Coordinator plays a critical role in supporting daily operations within a residential homebuilding environment. This position is responsible for managing job start & closing activities, rebate tracking, construction documentation, and vendor compliance and management. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced new home construction environment. This role supports operational processes and documentation management while assisting with other purchasing functions

WHAT YOU'LL DO:
Job Start & Closing Activities
  • Prepare and issue purchase orders for all home starts.
  • Process material invoices and reconcile turnkey contracts as needed.
  • Upload all lot information to BuildPro.
  • Report missing or incorrect information to Purchasing Manager & Agents.
  • Perform job close processes on all homes.

Construction & Purchasing Administration
  • Enter and track change orders, ensuring documentation is complete and approved.
  • Coordinate with construction, purchasing, and sales teams to support operational processes and ensure documentation is accurate and up to date.
  • Maintain organized and accurate documentation across construction files, vendor records, and shared drive systems to support operational efficiency and compliance.
  • Assist with rebate tracking, documentation and related reporting as needed.
  • Analyze and audit budgets to ensure plans and communities are consistent.
  • Facilitate pricing and quantity updates in purchasing software as required.
  • Collaborate with Purchasing Agents and the Purchasing Manager in creating and maintaining Scopes of Work, Bid Sheets, and Community Specifications.
  • Administer accurate quantity take-offs and estimates.
  • Conduct market research to stay informed about industry trends, products, and pricing.
  • Serve as a customer service liaison between trades and other departments.
  • Work with sales team to facilitate sourcing of homeowner closing gifts from vendors.

Vendor & Compliance Management
  • Maintain vendor folders to ensure all required documentation is current and compliant in both digital and physical formats.
  • Coordinate with trade partners to obtain updated documentation as needed.
  • Support internal audit preparation and compliance reviews.

WHAT YOU BRING:
  • Minimum of 2 years direct purchasing experience; residential home builder purchasing experience preferred.
  • Excellent verbal, written communication and customer service skills.
  • Strong organizational skills and ability to prioritize multiple tasks and deadlines.
  • Excellent analytical and problem-solving abilities.
  • Exceptional attention to detail and accuracy.
  • Proficient in Microsoft Excel and Outlook.
  • Experience with Newstar preferred.

PHYSICAL REQUIREMENTS:
  • General sedentary work requiring the use of office equipment such as computers, copiers, printers, scanners and telephones
  • Position requires sitting, standing, walking, bending, stooping, grasping, writing, typing, repetitive motions, hearing ability, visual acuity, and climbing stairs on occasion
  • May occasionally lift and/or move up to 25 pounds
