What you'll be working on
 
As Audinate’s Office Manager in Portland, you’ll be the go-to support for day-to-day operations - from keeping supplies, facilities, deliveries, events, onboarding, safety, vendors, assets, and finance administration on track to creating a positive, organised office experience for employees and visitors alike. This is a hands-on, varied role for someone who thrives on helping people, solving problems before they arise, and bringing a calm, can-do approach to a fast-moving environment.  
 
Please note this is a part-time role of 20 hours per week.
Responsibilities
  • Procurement and management of stationary, office supplies and computer equipment
  • General office support, including answering telephone enquiries, and processing postal mail
  • Liaising with the office building management as needed to ensure the office operates effectively
  • Liasing with outside vendors for office maintenance and IT projects
  • Plan and execute company events including scheduling, catering, supplies, activities and other preparation needs
  • Provide support to the Chief Marketing Officer as needed
  • Support onboarding preparation for new employees and organize new employee welcome packs for employees in the Americas
  • Manage and reconcile the company credit card
  • Serve as US point person for the Finance team
  • Manage and execute Work Health & Safety requirements
  • Manage Americas asset and tagging
Requirements
  • 3+ years of experience as an office admin, preferably in a similar role at a fast-paced, growing company
  • Knowledge of Office 365: Outlook, Word, Excel, SharePoint, PowerPoint, and Teams
  • Attention to detail and accuracy
  • Superior communication skills (oral and written)
  • Effective interpersonal skills to interact with employees at all levels
  • Ability to manage and prioritize multiple projects simultaneously
  • Strong work ethic with the ability to operate autonomously and with discretion when dealing with sensitive and confidential information
  • Experience managing company credit cards, purchasing and expenses.
  • A no ego, “can-do” attitude with the ability to remain calm; proactively anticipates needs before they arise
  • Cultivates a positive, team-oriented culture in the Portland office.
