The National Office Manager (NOM) serves as the strategic operational leader for CSD’s National Office, overseeing the day-to-day administration, facilities operations, executive support, and business services that enable the organization’s national headquarters to operate efficiently and professionally. Acting as the central point of coordination for onsite operations, the NOM partners across departments to ensure seamless execution of workplace operations, vendor relationships, executive logistics, office administration, and organizational events while maintaining a high-performing, service-oriented office environment. 


This role is responsible for establishing operational consistency, driving workplace excellence, managing critical business partnerships, supporting executive leadership, and ensuring the National Office reflects CSD’s commitment to professionalism, accessibility, and organizational stewardship. The successful incumbent will exercise sound judgment, anticipate operational needs, manage competing priorities with minimal oversight, and serve as a trusted resource for employees, executives, visitors, and external stakeholders.

This is a fully on-site position requiring 5 days a week in our Austin, TX office. 

Requirements:
  • Oversee the day-to-day operational readiness of CSD’s Austin National Office, ensuring reception areas, shared workspaces, conference rooms, and common areas consistently reflect a professional, organized, accessible, and welcoming workplace environment. 
  • Serve as the primary onsite representative and operational point of contact for employees, executives, board members, visitors, vendors, and external stakeholders, facilitating connections, responding to workplace needs, and ensuring a high-quality National Office experience. 
  • Manage the scheduling, utilization, and readiness of hoteling workstations, conference rooms, meeting spaces, office storage, supplies, equipment, organizational collateral, and other shared workplace resources. 
  • Oversee the receipt, secure handling, processing, and distribution of organizational mail, packages, deliveries, and correspondence, and coordinate shipping and receiving needs for equipment, supplies, materials, and organizational collateral. 
  • Coordinate administrative and document-processing needs associated with National Office operations, including ink-signature requests, notarization coordination, document routing, records handling, and other business-critical administrative processes. 
  • Partner with IT Operations to coordinate the onsite management and lifecycle of IT equipment and accessories, including shipping, receiving, tracking, inventory and storage, equipment deployment and retrieval, hardware returns, repairs, warranty replacements, and maintenance of Austin office technology and equipment. 
  • Serve as the primary liaison with office-related vendors, service providers, building management, and landlord representatives, coordinating service needs, monitoring service delivery, resolving routine operational matters, and escalating issues when appropriate. 
  • Lead onsite logistical coordination for organizational meetings, leadership meetings, division retreats, executive gatherings, and other National Office events, including space planning, technology readiness, catering and hospitality, materials, accessibility accommodations, interpreting services, and vendor coordination. 
  • Coordinate leadership and board meeting administration, including scheduling, agenda development and management, preparation and distribution of materials, action-item tracking, meeting minutes, and maintenance of associated records and documentation. 
  • Prepare, edit, format, and coordinate executive-level correspondence, presentations, reports, briefing materials, and other documents in support of leadership, board, and large-scale organizational meetings. 
  • Coordinate travel arrangements and related logistics for executives and board members traveling to and from Austin, including transportation, lodging, itineraries, meeting schedules, and other travel-related needs, while serving as a resource for employees and organizational guests visiting the National Office. 
  • Provide high-level administrative and operational support to executive leadership and national operations, proactively coordinating priorities, anticipating logistical needs, and facilitating timely follow-through on assigned matters and special initiatives. 
  • May receive and coordinate the secure processing or deposit of organizational checks and other designated financial materials in accordance with established internal controls, authorization protocols, and financial procedures. 
  • Exercise sound independent judgment and maintain the highest degree of discretion and confidentiality when handling sensitive organizational, executive, board, employee, financial, and business information. 
  • Identify opportunities to strengthen National Office processes, workplace systems, vendor relationships, and administrative practices to improve operational efficiency and the employee and visitor experience; perform other related duties, special projects, and cross-functional initiatives as assigned.

Qualifications 

  • Associate degree required; Bachelor’s degree preferred. 
  • Minimum of five (5) years of experience in office management, executive support, facilities coordination, or administrative operations. 
  • Active Texas Notary Public Commission in good standing, or the ability to obtain and maintain a Texas Notary Public commission within six (6) months of hire, as required by the organization 
  • Experience supporting executives, multi-department operations, or nonprofit organizations preferred. 
  • Prior experience coordinating meetings, events, vendors, and office logistics in a professional office environment preferred. 
  • Ability to communicate effectively using American Sign Language (required) 

Work Environment / Physical Requirements 

This position is moderately self-directed and requires understanding and compliance with company policies, procedures, and values. The position operates primarily in a professional office environment and requires regular onsite presence during standard business hours. While performing the duties of this job, the employee is regularly required to interact collaboratively with team members, executives, visitors, vendors, and stakeholders and communicate in person, by phone, videophone, email, or text messaging. The employee may occasionally lift and/or move office materials, packages, supplies, or equipment up to 25 pounds. The position may require occasional local travel in support of office operations, meetings, or organizational activities.
