Job description

Inspection Renewal Coordinator
The Inspection Renewal Coordinator plays a key role in supporting the service operations and sales teams by managing the renewal process for customer inspection agreements. This position is responsible for proactively contacting customers across multiple states and locations, preparing and presenting renewal quotes, following up with customers, and securing purchase orders (P.O.'s) to retain and grow the company's inspection business.
Pay: $25-$28/hr
Key Responsibilities
  • Manage customer inspection agreement renewals across multiple states, branches, and customer locations.
  • Prepare and present renewal quotes to existing customers based on current agreements, inspection requirements, pricing, and service history.
  • Proactively contact hundreds of customers by phone and email to introduce renewal opportunities, answer questions, and drive the renewal process forward.
  • Conduct consistent follow-up with customers who have received renewal quotes to identify objections, answer questions, and move opportunities toward closure.
  • Secure customer purchase orders (P.O.'s) and completed renewal agreements to ensure continuity of service.
  • Maintain an organized pipeline of renewal opportunities, tracking quotes, customer communications, follow-up dates, pending decisions, and P.O. status.
  • Monitor inspection agreement expiration dates and initiate the renewal process well in advance of expiration.
  • Identify customers at risk of non-renewal and proactively communicate with Service Managers and Sales Representatives to develop appropriate retention strategies.
  • Review customer and inspection information to ensure renewal quotes are accurate and reflect the appropriate scope of services.
  • Collaborate with Service Managers, Sales Representatives, and other internal teams to resolve customer questions and address issues that may impact renewal decisions.
  • Follow up on open deficiencies, recommended repairs, or other customer concerns that could affect the renewal process, coordinating with the appropriate internal team when necessary.
  • Maintain accurate customer, contract, quote, and renewal information in the company's CRM/ERP and other applicable systems.
  • Track renewal performance and activity, including quotes issued, customer contacts, follow-ups, P.O.'s secured, renewals completed, and opportunities lost.
  • Provide regular updates and reporting to management regarding renewal activity, pipeline status, customer responses, and projected renewals.
  • Identify opportunities for additional services and communicate potential sales opportunities to the appropriate Sales or Service team members.
  • Ensure all customer communications and documentation are handled professionally and in accordance with company policies and procedures.

Qualifications
  • High school diploma or equivalent required; associate's degree or technical/business background preferred.
  • 2-5 years of experience in customer service, inside sales, account management, service coordination, contract renewals, or administrative support. Experience in an industrial, construction, mechanical, or technical service environment preferred.
  • Experience managing a high volume of customer accounts, quotes, renewals, or outbound communications preferred.
  • Strong customer service and communication skills, both verbal and written.
  • Comfortable making frequent outbound phone calls and communicating with customers throughout the renewal and purchasing process.
  • Demonstrated ability to follow up persistently and professionally without being overly aggressive.
  • Strong organizational skills with the ability to manage hundreds of customers and multiple renewal opportunities simultaneously.
  • Ability to prioritize work, manage deadlines, and maintain accurate records in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, including Outlook and Excel.
  • Experience with CRM, ERP, quoting, or service management software such as Salesforce, ServiceMax, or similar systems preferred.
  • Basic understanding of OSHA and safety compliance related to overhead lifting equipment is a plus.
