Job description

Overview

The Event Coordinator is a key member of the Sugarloaf Events team, responsible for the planning, coordination, and execution of resort events and on-mountain activations. This role works closely with departments across the resort to deliver exceptional guest experiences through seamless event operations, entertainment programming, and logistical coordination.
The Event Coordinator supports signature festivals, concerts, races, community events, seasonal celebrations, and other resort programming from initial planning through post-event wrap-up.
This foundational role is anticipated to start within a wage range of $19–$21 per hour (based on experience) and has strong potential for advancement.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced resort environment. They enjoy bringing events to life, solving problems on the fly, and creating memorable experiences for guests.


Responsibilities

Core Responsibilities:

Event Planning & Coordination

  • Support the Events Manager in planning, logistics, and execution of all resort events, including signature events, community programming, partner activations, competitions, and seasonal celebrations
  • Develop and maintain detailed event timelines, run-of-show documents, and logistics checklists
  • Coordinate with internal departments — including F&B, Mountain Operations, Guest Services, Lodging, and Retail — to ensure event needs are identified and met
  • Manage vendor relationships and on-site logistics including equipment, staging, signage, and staffing needs
  • Recruit, schedule, train, and manage event volunteers; maintain volunteer database
  • Serve as the on-site lead during events, managing day-of execution and troubleshooting in real time

 

Entertainment Booking & Coordination

  • Assist with booking musicians, DJs, performers, speakers, and other entertainment for resort events
  • Develop and distribute artist itineraries, schedules, and production information
  • Act as the primary on-site contact for performers and entertainment partners
  • Coordinate with production vendors regarding staging, sound, lighting, and technical requirements
  • Ensure entertainment contracts and hospitality requirements are fulfilled

Guest & Partner Relations

  • Serve as the primary point of contact for guest inquiries related to events and programming
  • Support sponsor and partner activations, ensuring contractual deliverables are met on-site and in promotional materials
  • Represent Sugarloaf Mountain Resort as a positive brand ambassador with community partners, sponsors, and guests

Qualifications

Required for this Role:

  • 1–3 years of experience in event coordination, event marketing, or a closely related role
  • Strong organizational skills with the ability to manage multiple concurrent projects under deadline
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office/365; comfort with digital tools and event management software
  • Ability to work flexible hours including evenings and weekends during peak event periods
  • Ability to work outdoors and on-mountain in winter conditions

Preferred

  • Experience working in a resort, hospitality, outdoor recreation, or tourism environment
  • Bachelor's or Associate's degree in Event Management, Business Management, Hospitality, Communications, or a related field
  • Familiarity with event platforms such as EventBrite, RunSignUp as well as our CRM systems SalesForce and Springer Miller.
  • Passion for the mountain lifestyle and genuine enthusiasm for the Sugarloaf community

Working Conditions

Sugarloaf is a four-season resort that flexes to business levels.  The coordinator role should anticipate reduced hours and potential layoffs during the shoulder seasons, including late May–July and late October–November.  Layoff and/or reduction of hours will be notified in advance and depend on business levels and the needs of the team.
